Job Description
Who We Are Looking For:
Turnitin is seeking a highly motivated Administrative Assistant to provide primary support to Senior Leadership (RVPs) members. Responsible for calendar management, data entry, research, project facilitation, swag, gift orders, and various administrative tasks. This role works to ensure the highest level of confidentiality, customer service, and stewardship. Must be available to work during US-compatible workday time zones.

Primary Responsibilities:
- Manage RVP’s calendar, coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives.
- General office responsibilities include: maintain multiple calendars; plan, schedule and coordinate virtual meetings, travel, onsite/offsite meetings; process payments and expense reports.
- Manage logistics, such as securing space, ordering meals, and obtaining materials and equipment.
- Prepare the leader for meetings, including but not limited to the provision of agendas, directions and lists of attendees, and transcription and distribution of minutes.
- Providing clear communication, excellent customer service, and demonstrating competence to maintain credibility, trust and support with all stakeholders.
- Research, prioritize, and follow up on incoming inquiries, and determine an appropriate course of action, referral, or response.
- Making decisions regarding calendar priorities to reduce conflicts and accommodate high priority commitments.
- Addressing problems and developing practical, thorough, and creative solutions without relying on precedent or supervisory review.
- Prioritizing business needs; handle matters expeditiously, proactively, and follow through on projects to successful completion, often with definite deadlines.
- Able to create complex, innovative and creative presentation-quality documents.
- Manage special events and projects, which may include coordinating gifts to team members around the globe in a remote-first environment.
- Other duties as assigned.
Qualifications
Skills and Experience of the Ideal Candidate:
- 3-5 years administrative support experience with a minimum of 2 or more years demonstrated success providing support to an executive, higher-level manager, or other senior leader. Prior experience in an administrative role working within a high growth tech organization is preferred.
- Exercise judgment and discretion with sensitive/confidential and proprietary information.
- Professional, confidential, honest, and reliable.
- Highly organized, detail-oriented, and have the ability to take initiative in order to work competently and efficiently in a multi-task environment.
- Proficient with Google Suite. You have advanced expertise with Excel, Word, and PowerPoint. You can master new software applications and technologies.
- You have strong English speaking and writing skills, the proven ability to accurately proofread, edit reports and write basic correspondence with an eye for the overall needs of a large development operation.
- Have excellent word processing and accurate keyboarding skills.
- Knowledgeable in a variety of office procedures, including purchase orders, invoices, vendor selection, grants, requisitions, check requests, expense reports, mailings, filing, and related paperwork.
- Have impeccable integrity, solid judgment, and are a highly resourceful team player who can work with a diverse group of people.
