Job description
We’re seeking a highly organized, strategic, and proactive Chief of Staff who will also serve as a Lifestyle Manager to the Founder. This unique hybrid role combines high-level operational leadership with hands-on executive support. You will be a trusted partner responsible for streamlining business operations, managing key projects, and ensuring the CEO’s priorities are executed efficiently.
Key Responsibilities:
Strategic & Operational Leadership:
- Collaborate closely with the CEO to drive organizational priorities and company goals.
- Manage cross-functional projects and initiatives, ensuring alignment and timely execution.
- Facilitate communication between leadership and teams to maintain focus and momentum.
- Prepare presentations, reports, and analyses to support decision-making processes.
- Identify and resolve operational bottlenecks, improving workflows and internal processes.
Executive Support:
- Manage the CEO’s calendar, meetings, and travel arrangements.
- Coordinate communication across internal teams and external partners on behalf of the CEO.
- Draft, review, and respond to emails and correspondence as needed.
- Prepare agendas, take meeting notes, and follow up on action items.
- Support with CRM and contact management, including data organization and follow-ups.
Stakeholder Management:
- Serve as a liaison between the CEO and internal/external stakeholders.
- Support relationship management with key clients, partners, and investors.
- Organize and prepare for board meetings and executive sessions.
Continuous Improvement & Technology:
Stay informed about relevant technology and productivity tools that enhance operational efficiency.
Drive adoption of tools and processes that improve team collaboration and execution.
3 -5 years experience in a Chief of Staff, Executive Assistant, or related assisting roles.
Proven ability to manage complex calendars, prioritize competing demands, and multitask effectively.
Strong project management and organizational skills.
Exceptional communication skills—highly communicative and proactive in keeping stakeholders informed.
Strategic mindset with excellent problem-solving capabilities.
Experience with CRM systems, project management tools, and productivity software (e.g., Salesforce, Asana, Confluence).
High level of discretion and confidentiality.
Ability and hunger to continuously learn and grow professionally.
Sales background or experience in sales operations is a strong plus.
Ability to work independently and as part of a fast-paced, dynamic team.
Nice to Have:
- Experience working in startup or fast-growth environments.
- Technical proficiency with data analysis and visualization tools.
Our Recruitment Process
Video Interview
20-minute take-home skills test
30-minute Call with the Recruiter (project, benefits, etc.)
Interviews directly with the client (depending on the project the # of interviews may vary, this may include an assessment)
Final Offer
Work remotely Monday - Friday, 40 hours a week (no weekends)
Vacation: 10 business days a year
Holidays: 5 National Holidays a year
Company Holidays: 5 Company Holidays a year (Christmas Eve, Christmas Day, New Year’s Eve, New Year’s Day, Zipdev Day)
