Summary Description
We are seeking a highly driven and detail-oriented Manager – RCM Reimbursement Operations to lead and optimize key post-payment RCM functions including payment posting, credit balance resolution, and remittance reconciliation across high-volume radiology and multi-specialty portfolios. This role will act as a critical conduit between client stakeholders and offshore operations, ensuring delivery alignment, operational transparency, and consistent execution against KPIs.
The ideal candidate will bring deep functional expertise in transactional RCM workflows and experience managing global delivery teams. This individual will represent the function during weekly and monthly operational reviews and will play a prominent role in Quarterly Business Reviews with clients to report on metrics, highlight trends, and drive service enhancements
Responsibilities
- Act as the primary client-facing escalation point for reimbursement operations, ensuring timely resolution of posting and credit-related issues.
- Lead end-to-end ownership of payment posting operations, ensuring compliance with client SOPs, payer-specific rules, and reconciliation standards.
- Manage the credit balance and refund workflow, ensuring proactive resolution of overpayments, unapplied cash, and audit risks.
- Partner with offshore operations teams to drive efficiency, accuracy, and timeliness across daily production deliverables.
- Lead the delivery of weekly, monthly, and quarterly client reviews, preparing and presenting governance reports, performance trends, and action plans.
- Collaborate with internal teams (System Admins, QA, IT, Process Excellence) to troubleshoot issues, improve process adherence, and streamline technology usage.
- Track and report on SLAs, productivity benchmarks, error rates, and client escalations using standardized operational dashboards and governance frameworks.
- Identify and escalate systemic issues and operational risks through a structured issue escalation matrix.
- Ensure strict adherence to HIPAA compliance, security protocols, and data privacy regulations in all operational workflows.
- Contribute to continuous improvement initiatives, including automation of reconciliation tasks, refund tracking, and performance analytics.
Qualifications
- Bachelor’s degree in Healthcare Administration, Finance, Business, or a related field.
- 5–7 years of progressive experience in revenue cycle management, with a strong emphasis on payment posting, remittance processing, and credit balances.
- Proven track record of leading offshore teams and cross-functional collaboration in a matrixed delivery model.
- Familiarity with Imagine Billing or equivalent RCM systems (Athena, EPIC, eClinicalWorks, etc.) preferred.
- Strong understanding of 835⁄837 file formats, electronic remittance advice (ERA), and reconciliation methodologies.
- Advanced proficiency in Microsoft Excel, including pivot tables and dashboard creation; working knowledge of reporting tools is a plus.
- Exceptional communication and client management skills; capable of navigating executive conversations and service escalations with confidence.
- Experience in governance frameworks and ability to present data insights to client stakeholders and leadership teams.
Preferred Skills
- Exposure to Radiology specialty RCM workflows and payer environments (Medicare, Medicaid, Commercial, WC, etc.).
- Experience supporting or leading governance models in a BPO or outsourcing environment.
- Prior involvement in Imagine system troubleshooting, reconciliation, or system administration tasks.
- Strong organizational skills with an eye for continuous process improvement and client satisfaction.
