Our client is a dynamic Australian consultancy business supporting a wide range of client projects in construction, infrastructure, and property advisory.
They are seeking a Personal Administrative Assistant to provide executive and operational support to the business owner and internal team.
Job Responsibilities:
Handle and direct inbound phone enquiries for the business owner
Manage the owner’s email inbox and calendar efficiently
Coordinate travel arrangements and monitor schedules
Assist with prioritising and managing project-related activities
Liaise with internal staff in a fast-paced, detail-driven environment
Update Monday.com with enquiries, project statuses, and staff allocation
Follow up on quotes and client communications
Post and manage content across social media platforms
Input subcontractor invoices and bills using Xero
Prepare and send weekly reports on project pipelines and team activities
Support general administrative duties and follow-ups as needed
Excellent written and verbal English communication
Proficiency in Microsoft Office and tech tools
Strong attention to detail and accuracy in data entry
Self-motivated with strong time management skills
Ability to work independently and use initiative to solve problems
Experience using Monday.com and Xero is highly preferred
Comfortable working with calendars, emails, reports, and client coordination
Previous experience supporting an executive or project-based team is a plus
