We are seeking an experienced Senior Business Operations Assistant to join our dynamic executive search team. This fully remote position offers an exciting opportunity to support critical business operations while working with senior leadership in the executive recruitment industry. The successful candidate will play a vital role in ensuring smooth operational processes and contributing to the continued growth of our executive search practice.
Responsibilities:
Operational Support
- Manage and coordinate complex scheduling for senior executives and client meetings across multiple time zones
- Oversee administrative processes and ensure compliance with company policies and procedures
- Maintain and update client databases, candidate records, and project tracking systems
- Prepare comprehensive reports, presentations, and correspondence for internal and external stakeholders
Client and Candidate Management
- Coordinate executive search project logistics and timelines
- Assist with client onboarding processes and documentation management
- Support candidate communication and interview coordination
- Maintain confidentiality and handle sensitive information with discretion
Process Improvement
- Identify opportunities to streamline operational workflows and implement efficiency improvements
- Assist in developing and maintaining standard operating procedures
- Support quality assurance initiatives and compliance monitoring
- Collaborate with team members to enhance service delivery standards
Financial and Administrative Tasks
- Process invoices, expense reports, and maintain accurate financial records
- Assist with contract management and vendor relationships
- Coordinate travel arrangements and logistics when required
- Support month-end and quarter-end reporting activities
Essential Qualifications
- Minimum 5 years of senior-level administrative or operations experience
- Proven experience in a fast-paced, client-facing environment
- Strong proficiency in Microsoft Office Suite, CRM systems, and database management
- Excellent written and verbal communication skills in English
