ABOUT THE ROLE

BBYO is seeking a highly organized, detail-oriented Marketing & Communications Coordinator (part-time) to support the Marketing & Communications team in the months leading up to (and potentially during) BBYO International Convention (IC) 2027, as well as with general marketing support through the spring.

The successful candidate thrives in a fast-paced environment, has an exceptional eye for detail, and brings strong organizational and project-management skills. They can juggle many moving pieces at once and understand how a single update may ripple across multiple projects, people, and communications channels. Candidates should be comfortable learning new technology systems, such as Airtable and Salesforce Marketing Cloud. A background in marketing, communications, media relations, journalism, or a related field is preferred.

ABOUT BBYO INTERNATIONAL CONVENTION (IC)

Every year over U.S. Presidents’ Day weekend in February, BBYO unites more than 5,000 teen leaders, alumni, educators, influencers, professionals, and philanthropists from around the world for BBYO International Convention, one of the largest Jewish communal events of the year.  This year, IC will take place in Baltimore, Maryland, from February 11–15, 2027.

PHASE 1: IC SUPPORT

The Marketing & Communications Coordinator will provide essential support for all marketing related activities leading up to and at IC. They will begin by shadowing members of BBYO’s marketing team during the fall and gradually take on more responsibility as IC approaches, culminating in potential onsite marketing support in Baltimore during IC, if availability permits.

PHASE 2: GENERAL MARKETING SUPPORT

Following IC, the Marketing & Communications Coordinator will continue supporting BBYO’s Marketing & Communications team through May 2027. In this phase, the Coordinator will help execute marketing campaigns, coordinate communications projects, support regional events and conventions, and assist with preparations for BBYO’s summer recruitment and program launches. The role will serve as a central point of coordination across multiple stakeholders, helping ensure projects stay organized, deadlines are met, and communications are delivered accurately and on schedule.

KEY RESPONSIBILITIES

IC Preparation (Pre-IC)

  • Shadow members of the Marketing & Communications team and learn IC communications, media, content, teen press corps, and event workflows.
  • Support the coordination and tracking of multiple IC marketing and communications projects.
  • Maintain project trackers, timelines, assignments, and updates, including in Airtable.
  • Monitor changes to schedules, plans, content, and logistics and help identify their impact across channels and teams.
  • Follow up with staff, teens, volunteers, vendors, and other partners to gather information and keep projects moving.
  • Assist with preparing and organizing communications materials, content, media lists, schedules, and other IC resources.
  • Support additional marketing and communications projects as needed.

Onsite at IC (Potential, but not required)

During IC in Baltimore, responsibilities may include:

  • Supporting IC livestream broadcast and video studio activities.
  • Coordinating with the photo and video teams and keeping track of content needs and schedules.
  • Publishing or supporting the publication of blogs, photos, and other digital content.
  • Jumping in wherever needed to support the Marketing & Communications team during the fast-paced IC environment.

General Marketing Support (Post-IC)

  • Support the execution of BBYO marketing campaigns across email, web, social media, and digital advertising channels.
  • Maintain project-management systems, campaign trackers, content calendars, and documentation.
  • Assist some BBYO regions in preparing communications and marketing materials for spring conventions, programs, and events.
  • Support summer recruitment marketing efforts, including preparing campaign assets, communications, registration materials, and promotional content.
  • Assist with preparations for summer program launches, helping coordinate timelines, content updates, marketing materials, and registration communications.
  • Assist with website updates, content publishing, and other digital marketing needs as assigned.
  • Support reporting, data organization, and campaign tracking.

SCHEDULE

  • November: Up to 10 hours/week
  • December: Up to 15 hours/week
  • January: Up to 19 hours/week
  • February: Up to 19 hours/week including (potentially) supporting IC onsite in Baltimore (February 9–14)
  • March: Up to 19 hours/week
  • April: Up to 19 hours/week
  • May: Up to 10 hours/week

Some flexibility in scheduling will be needed as IC approaches and during the event.

QUALIFICATIONS

Required

  • Some work or internship experience in marketing, communications, public relations, media relations, journalism, events, or a related field.
  • Ability to manage multiple projects, deadlines, and priorities simultaneously.
  • Strong follow-through and ability to track details from initial request through completion.
  • Ability to anticipate how changes to one project, schedule, or piece of information may affect other people, projects, and communications channels.
  • Strong written and verbal communication skills.
  • Comfortable working collaboratively with a team and communicating with a wide range of people.
  • Ability to work independently, take direction, ask questions, and proactively identify what needs to happen next.
  • Comfortable working in a fast-paced environment where priorities may shift quickly.

Preferred

  • Familiarity with Airtable or similar project-management/database tools.
  • Experience working on events, live programs, or large-scale projects.
  • Experience working with photo, video, livestream, or other digital content production.
  • Experience working with teens or in a youth-serving organization is a plus.
  • Familiarity with BBYO or the Jewish community is a plus.
  • Willingness and ability to work onsite in Baltimore during IC.
