Job description
We are seeking a proactive and detail-oriented Virtual Assistant to provide essential administrative support. The ideal candidate will manage inbound calls, schedule appointments, and handle email/text correspondence to ensure smooth daily operations. This role requires excellent communication skills, organizational ability, and comfort with basic productivity tools.
Key Responsibilities
- Handle inbound calls promptly and professionally
- Book and manage appointments, meetings, and reminders
- Respond to emails and text messages on behalf of the company
- Maintain accurate records of communications and schedules
- Provide general administrative support as needed
Tools & Software:
- Communication: RingCentral, Skype, Zoom, Microsoft Teams, Slack
- Email & Calendar Management: Gmail/Outlook, Google Calendar, Microsoft Outlook Calendar
- Appointment Scheduling: Calendly, Acuity Scheduling, Google Calendar
- Productivity & Organization: Google Workspace (Docs, Sheets, Drive), Microsoft Office Suite (Word, Excel, Outlook), Notion, Trello, Asana
- Customer Management (basic): HubSpot CRM, Zoho CRM (optional depending on clientβs setup)
Qualifications
- Previous experience as a Virtual Assistant, Administrative Assistant, or in a similar role preferred
- Strong written and verbal communication skills
- Excellent organizational and multitasking abilities
- Proficiency in using email, scheduling, and communication tools
- Ability to work independently and manage tasks with minimal supervision
- Professional, reliable, and customer-service oriented
Minimum Technical and Work Environment Requirements:
Internet Connection:
- Primary internet connection with a minimum speed of 15 Mbps.
- Backup internet connection with at least 10 Mbps.
- Backup connection must be capable of supporting work during a power outage.
Primary Device:
Desktop or laptop equipped with at least:
- Intel Core i5 (8th generation or newer), Intel Core i3 (10th generation or newer), AMD Ryzen 5, or an equivalent processor.
- A minimum of 8 GB RAM.
Backup Device:
- Must meet or exceed the performance of an Intel Core i3 processor.
- Must be functional during power interruptions.
A functioning webcam.
A noise-canceling USB headset.
A quiet, dedicated home office space.
Peripherals and Workspace: A smartphone for communication and verification purposes.
Workdays: Monday to Thursday, and Saturday
Days Off: Friday and Sunday
