Title: DSP-CPT-10529 Timecard, Payroll & Incident Reporting Virtual Assistant

Independent Contractor – Business Support VA / Junior to Senior Level (Remote).

Overview

20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

An Amazon DSP is seeking a detail-oriented Business Support VA to perform daily payroll and timecard audits, ensuring accuracy before discrepancies escalate or are flagged by Amazon. This role is backend, audit-focused, and highly detail-driven. The VA will compare data across ADP, Cortex, and internal Google Sheets, identify inconsistencies, and flag issues early so they can be resolved the same day. In addition, the VA will maintain the on-road incident reporting log, complete a one-time historical update of prior incident reports (~15 hours), and then perform daily log updates as incidents occur. This role is ideal for a VA who enjoys structured, repetitive analysis work and has strong attention to detail.

The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.

Scope of Services

Contractors will be required to provide services that align with the following client tasks:

  • Timecard & Payroll Auditing (Core Function)
    • Pull daily timecard reports from ADP.
    • Compare ADP punches against scheduled routes and internal Google Sheets.
    • Identify discrepancies such as: early clock-ins, unplanned breaks, unplanned stops, timecards not matching scheduled routes.
    • Flag discrepancies clearly and promptly for resolution.
  • Data Reconciliation & Reporting
    • Maintain a Google Spreadsheet used to track time and attendance.
    • Compare employee rosters against route assignments.
    • Notify management when drivers appear on routes but not on time spreadsheets (or vice versa).
    • Ensure daily audit completion before Amazon reporting windows.
  • Driver Follow-Up & Documentation
    • Reach out to drivers (as needed) to clarify same-day discrepancies.
    • Document explanations and resolutions accurately.
    • Maintain clear notes for audit trails.
  • Incident Reporting & Historical Update
    • Maintain the on-road incident reporting log (date, employee/driver, vehicle, type of incident: damage, injury, or other).
    • Complete a one-time historical update of prior incident reports (~15 hours) by reviewing PDFs/JPEGs and entering key fields into the spreadsheet.
    • Prioritize daily incident log updates while allocating time each day to finish historical entries until complete.
    • Administrative & Expansion Support (Future Scope)
    • Assist with centralizing logs, records, and compliance documentation.
    • Support additional DSP admin tasks if scope expands.

Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.

Skills

The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:

  • TECH/TOOLS STACK:
    • ADP for Payroll
    • Amazon Cortex
    • Google Workspace (Docs, Sheets, Gmail)
    • WhatsApp (internal operations team communication; transitioning to Discord soon)
    • Quo (formerly OpenPhone) for operations team phone numbers
    • Hera (Driver coaching, performance records, and driver texting)
    • 9moai (compliance and operational tool, may be used for driver time compliance review if implemented)
  • IDEAL CANDIDATE PROFILE:
    • Extremely detail-oriented and methodical.
    • Comfortable reviewing and comparing multiple data sources daily.
    • Strong spreadsheet and data-tracking skills.
    • Reliable and consistent with early-morning work.
    • Able to follow SOPs and flag issues proactively.
    • Comfortable working in DSP environments with payroll sensitivity
  • QUALIFICATIONS:
    • Experience with payroll audits, timecard review, or data reconciliation preferred.
    • Familiarity with ADP preferred but training will be provided.
    • Comfortable working with Google Sheets and structured logs.
    • Prior Amazon DSP experience a plus but not required.
    • Strong written communication skills.
    • Able to work independently with minimal supervision.

Work Schedule

  • Contracted Hours per Week: 14 Hours
  • Scheduled Working Days: Monday to Sunday (unless otherwise mutually agreed in writing)
  • Daily Working Time: 8AM to 10AM EST.

Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.

Terms of Engagement

  • Contractors will operate under a Master Services Agreement and a Statement of Work
  • This is not an offer of employment; contractors are not employees of 20four7VA or any client
  • All compensation is processed through 20four7VA according to the terms of the engagement
