Job description
At Hudl, we build great teams. We hire the best of the best to ensure you’re working with people you can constantly learn from. You’re trusted to get your work done your way while testing the limits of what’s possible and what’s next. We work hard to provide a culture where everyone feels supported, and our employees feel it—their votes helped us become one of Newsweek’s Top 100 Global Most Loved Workplaces.
We think of ourselves as the team behind the team, supporting the lifelong impact sports can have: the lessons in teamwork and dedication; the influence of inspiring coaches; and the opportunities to reach new heights. That’s why we help teams from all over the world see their game differently. Our products make it easier for coaches and athletes at any level to capture video, analyze data, share highlights and more.
Ready to join us?
The Sr. Workplace Portfolio & Systems Manager is the organizational and analytical pillar of our Workplace Operations team. You’ll provide the structure and data-driven insights necessary to manage Hudl’s global footprint, serving as a central hub for portfolio intelligence and occupancy data. We’re looking for a systems-first thinker to establish global governance standards, build our SOP framework, and lead coordination for a variety of global workplace projects - ensuring our operations are organized, documented and consistent across all locations.
Location
This role requires 3+ days in the office per week, so we’re currently considering candidates who live within a daily commuting distance of our office in Lincoln.
Your Role
- Streamline global portfolio administration. You’ll oversee the administration of all traditional leases and co-working agreements across our global footprint. You will develop and maintain the Single Source of Truth (SSOT) for critical lease data—including rent schedules and renewal windows—ensuring our documentation is always compliant and accurate.
- Drive data-driven decisions. You’ll lead the gathering, interpretation, and organization of portfolio data, including office utilization and headcount growth projections. You will format and convey these inputs to provide the analytical clarity needed for informed decisions.
- Establish global operational standards. You’ll be the central point person for the organization and documentation of workplace-related global Health & Safety, security, and emergency response initiatives. Working across multiple teams, you’ll identify opportunities to scale successful processes across locations and build a unified global playbook—adding the organizational order needed to ensure we’re “doing things 1x” while keeping our tracking systems audit-ready.
- Lead global project coordination. You’ll drive the project management process for global office refreshes, relocations, and transitions, as well as broader workplace initiatives. Beyond coordinating timelines and cross-functional communication, you will establish the foundational processes for project intake, budget tracking, and status reporting to ensure all global projects are documented and managed in a uniform, logical manner.
- Optimize workplace technology and operational standards. You’ll lead the evaluation and implementation of our workplace technology roadmap and develop the SOP framework that ensures our processes and templates are discoverable, consistent and scale globally.
Must-Haves
- Experienced: You’ve spent 5+ years in program management, operations, or data analytics. You are a meticulous documenter who ensures records are always audit-ready, and you are comfortable orchestrating multi-stakeholder projects at a senior level.
- The “Order-Maker” DNA: You have an exceptional ability to transform fragmented information into streamlined, documented, and scalable processes. You don’t just fix a problem once; you build the system so it stays fixed.
- Analytical Precision: You are an expert at analyzing complex datasets—leases, budgets, and utilization metrics—to provide clear, factual insights for leadership.
- Meticulous Documentation: You believe that if a process isn’t documented and trackable, it doesn’t exist. You take pride in maintaining audit-ready records.
Nice-to-Haves
- Industry Context: Previous exposure to Corporate Real Estate (CRE), lease administration, or global portfolio management.
- Professional Rigor: Experience building frameworks for SOPs and templates in a high-growth environment.
- Certified: A PMP (Project Management Professional) certification is highly valued.
- Global Perspective: Experience working with teams or real estate in countries outside of the US.
Our Role
- Champion work-life harmony. We’ll give you the flexibility you need in your work life (e.g., flexible vacation time, company-wide holidays and timeout (meeting-free) days, remote work options and more) so you can enjoy your personal life too.
- Guarantee autonomy. We have an open, honest culture and we trust our people from day one. Your team will support you, but you’ll own your work and have the agency to try new ideas.
- Encourage career growth. We’re lifelong learners who encourage professional development. We’ll give you tons of resources and opportunities to keep growing.
- Provide an environment to help you succeed. We’ve invested in our offices, designing incredible spaces with our employees in mind. But whether you’re at the office or working remotely, we’ll provide you the tech stack and hardware to do your best work.
- Support your mental and physical health. We care about our employees’ wellbeing. Our Employee Assistance Program, employee resource groups and fitness partner Peerfit have you covered.
- Cover your medical insurance. We have multiple plans to pick from to ensure you’ll have the coverage you (and your dependents) want, including vision, dental, fertility healthcare and family forming benefits.
- Contribute to your 401(K). Yep, that’s free money. We’ll match up to 4% of your own contribution.
