Job Description
JOB DESCRIPTION
To act as an integral part of the new business client on-boarding and the ongoing monitoring of processing client due diligence (CDD).
Support the CDD and Onboarding team with the execution of onboarding new business completion and collation of new business packs/checklists and undertaking ad-hoc searches and processing of CDD to ensure up to date information is held on clients in core systems.
Proactively look for opportunities to develop and enhance policies/procedures/processes; to the review process and the upload of CDD information to the client databases quickly and efficiently, whilst ensuring data accuracy is maintained.
RESPONSIBILITIES (how we will measure success)
New Business Onboarding (Serviced Client Entities & Investors)
• Assist Manager with preparation of Trackers and documents to be requested upon on-boarding of a new client or a new investor in a Client’s Fund or for a Trigger Event.
• Prompt scheduling of Discovery meetings within 24hrs of request received.
• Accurate drafting of Meeting notes for submission within 3 (standard) to 5 (complex) hours post meeting.
• Prepare list of CDD documentation required (based on structure chart provided by Client) for new /existing client set ups or for new Investors in Client Funds, including review of Source of Funds and Source of Wealth.
• Assist in Preparation of ACE memo for On-Boarding and provide Supporting Documents (Screening, CDD etc.).
• Prepare Memos relating to PEPs and Sanctions.
• Maintaining and updating Onboarding CDD Trackers
• Timely update of new business systems – NewEazzy/5series & CDD Repository tool
• Ensure strong operational controls are in place and are followed to support the integrity of new and existing data stored within the client database
Ongoing Monitoring CDD processing
• Timely recording and update of Onboarding and CDD tracker logs.
• Timely execution of business as usual (BAU) CDD on relevant systems – NewEazzy/5series & CDD Repository
Team Support – Operational Efficiencies
• Conduct screening and Adverse Media checks under guidance of the Manager;
• Review and validate all CDD and Customer On-boarding documentation passed to the Team via the designated processes;
• Escalate any CDD issues or concerns to the Director/Manager of Onboarding and Client Monitoring
• Timely responses to email queries and filling of emails.
• Ensure strong operational controls are in place and are followed to support the integrity of new and existing data stored within NewEazzy/5Series/CDD Repository.
• Ensuring timely execution and quality evaluation of screening process (Adverse Media check, WC), identifying PEP nexus, high risk red flag factors and providing justification while demonstrating adherence to and evidence of appropriate risk mitigation measures.
• Actively collaborate with the members across 1st line Client Services Teams, Compliance and Operational Support locally to maintain effective working relationships and improve operation efficiency.
• Adapting to changes in a productive manner and help to foster a positive attitude within the team.
• Identify own training needs and tracking progress as part of personal development plan.
• Timely completion of time recording on 5Series.

• Good knowledge and clear understanding of AML/CFT legislation and regulations
• Proficient understanding and knowledge in the application of CDD Onboarding Policies and Procedures.
• Good knowledge and understanding of Private Wealth (Trust and Corporate) and Fund business.
• Good understanding of client onboarding model.
• Sound knowledge and understanding of CDD and KYC (know your client) standard and enhanced due diligence.

Qualifications
REQUIRED EXPERIENCE
Education / professional qualifications
- Ideally hold an AML Certificate or equivalent.
Background experience
- At least Two (2) years previous experience in a Client Due Diligence role
- Experience in Private Wealth/Corporate and Fund industries
- Clear understanding and knowledge of various typology of clients – Fund, company (holding/special vehicle, private limited etc.), Trust (discretionary, revocable, protected etc.), Foundation, Pension Fund, Insurance, Investor.
Technical
- Clear understanding and experience in applying AML/CTF Risk Management/Assessment methods
Computer / program knowledge
- Proficient user of MS Word and Excel
- Company, product, and market knowledge
- Proficient level of experience relating to on-boarding and CDD processing of Private Wealth, Funds and Corporate clients.
- Experience within financial markets is essential.
Management and leadership
- Good organisational skills and attention to detail
- Ability to work independently and on occasion under pressure to analyse information, research possible options and provide logical recommendations.
Languages
- Fluent in English
- Any other language would be an advantage.
