The Role
The Executive Operations Manager role is responsible for enabling the growth team leadership to operate at maximum effectiveness. This position sits at the intersection of executive operations, business systems, and organizational scaling.
This role requires a strategic operator with experience spanning government, aerospace/defense, and startup environments—someone who can build structure where none exists, translate executive intent into scalable systems, and serve as a trusted extension of the President and CSO as a direct report.
Key Responsibilities
Executive Operations & Strategic Support
Serve as a strategic partner to the executive team, enabling focus on company growth, customer engagement, and mission execution.
Manage complex executive calendars, priorities, and communications, ensuring alignment with business objectives.
Translate executive direction into operational action, follow-through, and accountability across teams.
Act as a central coordination point between the leadership team, parent company stakeholders, and external partners.
Business Systems & CRM Collaboration
Define business requirements and workflows for the company’s CRM in collaboration with the CRM Architect and Administrator.
Partner with technical system owners on the design and evolution of CRM data models, pipelines, dashboards, and reporting to support sales, capture, partnerships, and executive decision-making.
Collaborate with executive leadership to translate strategic, operational, and revenue objectives into system workflows and measurable outcomes.
Support data governance practices to ensure data accuracy, security, and usability in a defense-oriented environment.
Identify, evaluate, and support the implementation of additional business systems and integrations that enhance operational efficiency and scalability.
Internal Process Design & Operational Infrastructure
Build, document, and refine internal operational processes that support executive operations and cross-functional coordination.
Design and maintain lightweight tracking mechanisms to improve visibility and execution.
Establish operating cadence, task tracking, and coordination workflows that improve accountability and follow-through.
Identify inefficiencies and proactively design solutions to improve execution, visibility, and operational performance.
Required Qualifications
Minimum of 8 years of experience in executive operations, business operations, systems management, or a comparable role.
Bachelor’s degree in a relevant field.
Minimum 5 years of experience in aerospace & defense or government contracting, providing operational support to Army, Navy, Marines, Air Force, Space Force, Pentagon elements, and engaging with U.S./foreign government, military, and Congressional stakeholders.
Experience working with CRM platforms to support operational, sales, or leadership workflows.
Proven ability to build systems, processes, and structure in fast-moving or early-stage organizations.
Exceptional organizational, communication, and stakeholder-management skills.
Ability to operate with discretion, sound judgment, and a high degree of ownership.
Preferred Qualifications
Security clearance and experience working with classified material and organizations
Experience supporting C-suite or senior executives in complex organizations.
Salesforce certifications strongly preferred.
Environment
- This is a remote role, with travel as needed to support executive priorities, customer engagements, events, and key internal milestones.

The salary range for this role is an estimate based on a wide range of compensation factors, inclusive of base salary only. Actual salary offers may vary based on (but not limited to) work experience, education and training, critical skills, and business considerations. Highly competitive equity grants are included in most offers and are considered part of Mach’s total compensation package.
