At Malt, we donât just “have offices” - we create environments where our teams can Dream Big and Act Big. We are looking for a special person to join us as our Workplace Manager - International.
In this role, you will be the caring face of our Berlin office, the remote guardian of our Munich hub, and the strategic architect for our international locations (from London to Dubai). You will balance the “heart” (team events and feel-good vibes) with the “head” (real estate contracts, safety, and security) to ensure every “Malter” has a safe, inspiring, and compliant place to work.
Key responsibilities âš
1. The Berlin & Munich Heart (Local Excellence)
- The Friendly Welcome: Youâll ensure a warm, supportive atmosphere for the team and guests in Berlin, organizing meetings and events with a creative touch.
- Office Operations: Youâll reliably handle the “smooth processing” of daily tasks - from mail and supplies to kitchen equipment - ensuring everything stays on budget.
- Security & Safety: As our Health & Safety coordinator, youâll manage access cards, lead reviews, and ensure we are 100% compliant with regulations.
- Onboarding Joy: In partnership with HR, youâll give our new team members the best first day ever with office tours and welcome packages.
2. The International Architect (Global Governance)
- Real Estate & Contract Mastery: Youâll lead the “workplace mandate” across our footprint, managing relationships with property managers, landlords, and sub-tenants.
- Remote Partnership: Youâll support our international sites (Madrid, Amsterdam, London, etc.) remotely, collaborating closely with local HR stakeholders to solve facility challenges where no local office manager exists.
- Strategic Procurement: You will negotiate contracts with global and local suppliersâfrom maintenance to insuranceâmonitoring their execution to ensure high standards everywhere.
- Cultural Bridge: Youâll capture the best of our local events and share them with the international team, ensuring our “Malt culture” stays consistent across borders.
About you đ§âđ
- Contract & Operations Savvy: You have 2+ years of experience in administration or operations and feel comfortable navigating facility and real estate contracts.
- Caring & Creative: You have a “natural sense of service” and love communicating with different people to get things done cooperatively.
- Structured & Organized: You have a “hands-on” problem-solving mindset and an eye for detail that keeps everything running like clockwork.
- Technical Facilities Management: You are skilled in overseeing the operation and maintenance of building infrastructure while maximizing the efficiency of physical spaces.
- Budgetary Discipline: You are experienced in planning and controlling financial resources to ensure operations stay within budgetary constraints.
- Bilingual Pro: You communicate fluently in both German and English.

- First call with Niko, our Talent Acquisition Lead, to better understand your background, aspirations, and answer any questions you may have. (45 minutes)
- Interview with your future manager, Astrid (HR Director International), in our Berlin office with a Case Study to be prepared and an office tour afterwards.
- Final interview with our CHRO, Barbara, to discuss Maltâs long-term vision and how you fit into our strategic growth.
