An exciting opportunity for a top-tier, high-autonomy Senior Executive Assistant to operate as a strategic force multiplier to the Founder, owning communication flow, safeguarding priorities, and driving disciplined execution in a growing, founder-led company built on long-term thinking and operational excellence.

The company operates with a lean, remote team and a calm, execution-oriented culture. There are no unnecessary layers, no bureaucracy, and no excess meetings. Decisions are context-driven, and team members are expected to exercise strong independent judgment.

This is a high-trust environment. There are no multiple stakeholders or complex corporate hierarchies — the Founder is the primary decision-maker. The right candidate must be comfortable operating in a direct, context-rich, autonomy-heavy structure.

Overall purpose and responsibilities of the role:

While structured similarly to a classic EA role (inbox, scheduling, coordination), this position requires significantly higher autonomy, strategic thinking, and operator mindset.

The Founder communicates in context rather than step-by-step instructions. The right candidate must be able to absorb complexity, distill priorities, and drive execution independently.

Over time, scope may expand based on demonstrated ownership and capability.

Duties and Responsibilities:

Core Responsibilities

1. Executive Support & Inbox Ownership

  • Own daily inbox triage aligned with Founder standards
  • Draft high-quality responses reflecting tone, context, and judgment
  • Identify what requires Founder input vs. independent resolution
  • Ensure no critical communication or commitments are missed

2. Open Loop & Commitment Tracking

  • Maintain a live tracking system of commitments, action items, and deadlines
  • Monitor follow-ups across team members, vendors, and contractors
  • Provide concise daily/weekly executive briefs including:
  1. Top priorities
  2. Risks or bottlenecks
  3. Pending decisions
  4. Time-sensitive items

3. Calendar & Strategic Time Management

  • Manage calendar thoughtfully (not just booking meetings)
  • Protect focus time and reduce context switching
  • Coordinate travel and key logistics
  • Anticipate conflicts and proactively resolve scheduling friction

4. Project & Execution Ownership

This role includes lightweight but high-impact project coordination.

  • Translate high-level context from the Founder into structured execution plans
  • Track milestones, owners, and timelines across initiatives
  • Ensure cross-functional projects move forward without constant Founder follow-up
  • Identify bottlenecks early and escalate with proposed solutions
  • Coordinate across contractors and vendors to maintain execution momentum
  • Maintain simple dashboards or trackers for visibility (without adding unnecessary bureaucracy)

This is not corporate PMO-style project management.

It is lean execution ownership in a fast-moving, low-meeting environment.

5. Lightweight Process Improvement

  • Identify recurring inefficiencies in workflows
  • Recommend practical, low-bureaucracy improvements
  • Help document key workflows when helpful
  • Maintain operational simplicity while improving clarity

Deliverables (First 60–90 Days)

  • Fully structured inbox management system
  • Reliable open-loop tracker with weekly reporting cadence
  • Calendar optimized around strategic priorities
  • Clear executive briefing rhythm established
  • Active tracking of at least 1–2 cross-functional initiatives
  • 2–3 lightweight process improvements implemented

  • Founder experiences reduced cognitive load
  • No missed commitments or dropped follow-ups
  • Projects move forward without constant oversight
  • Calendar reflects strategic priorities
  • Increasing independent decision-making over time
  • Gradual expansion from support role to execution partner

Required skills and qualifications

  • 3 to 5+ years’ experience as Executive Assistant or similar high-trust role
  • Direct experience supporting a Founder or C-level executive
  • Exceptional written and verbal English communication
  • Strong judgment and pattern recognition ability
  • Experience tracking projects and driving follow-through
  • Ability to operate independently in ambiguity
  • High discretion and confidentiality
  • Experience working remotely

Preferred background

  • Experience in lean startups or founder-led businesses
  • Exposure to operational or project ownership
  • Familiarity with Google Workspace and modern productivity tools
  • Background supporting executives in growth-stage environments

Job type: Permanent

Emp type: Direct hire; Full-time

Schedule: Monday to Friday; Must maintain overlap with at least 2 hours of U.S. business hours (flexible structure, aligned with Founder’s workflow)
