Role Overview
This is a senior, operations-heavy Executive Assistant role supporting a highly driven consulting and investing executive. The role exists to act as an accountability partner—someone who not only manages logistics but actively drives execution forward. You will bring structure to ambiguity, create systems where none exist, and ensure priorities are followed through to completion. The work is fast-paced, highly independent, and requires strong judgment. This role is best suited for a confident, opinionated operator who thrives in environments where ownership and decisiveness matter.
Your Impact
You will directly improve execution speed by ensuring priorities are clearly defined, tracked, and completed. You’ll help eliminate dropped balls by holding commitments accountable across business and personal workflows. Through strong systems and calendar control, you’ll increase focus, reduce friction, and protect the executive’s time. Your work will enable better decision-making, stronger follow-through, and smoother coordination with external partners.
Core Responsibilities
Operational & Accountability Support – 35%
- Track commitments and follow up consistently until completion.
- Flag missed priorities and execution gaps proactively.
- Structure daily and weekly plans to maximize focus and output.
- Adapt plans quickly as priorities and constraints change.
Calendar & Time Management – 30%
- Own deep, intentional calendar blocking across professional and personal commitments.
- Manage multiple workflows spanning consulting, investing, and personal logistics.
- Proactively block time for workouts, meals, sleep routines, and personal priorities.
- Anticipate constraints and plan around limited availability during meetings.
Notion & Systems Management – 20%
- Maintain all tasks, planning, and documentation in Notion.
- Organize ideas, drafts, and meeting notes into clear, executable workflows.
- Push work from partial completion to fully shipped using structured execution methods.
- Continuously improve systems using AI and automation.
Communication & Execution Support – 15%
- Draft and refine emails in the executive’s voice when required.
- Coordinate with external partners such as consultants and finance professionals.
- Manage meeting notes, follow-ups, and relationship touchpoints.
- Support consulting, promotional, and business-related communications.
Key Requirements
Must-Haves (Required)
- 7+ years of experience as a senior Executive Assistant or in an equivalent operations-heavy role.
- Proven experience supporting high-performing, fast-paced executives.
- Strong operations and systems-thinking mindset.
- Advanced calendar and time management skills.
- Hands-on experience using Notion as a primary operating system.
- Comfort leveraging AI tools to increase speed and efficiency.
- Excellent written and verbal English communication.
- Ability to operate independently and push back when necessary.
Nice-to-Haves (Preferred)
- Background in consulting, investing, or professional services.
- Copywriting or content-editing experience.
- Experience coordinating with finance or legal partners.
