About the Role: Hours - 9 am- 6 pm, Monday - Friday.

We are looking for a reliable Administrative Assistant who will undertake a broad set of administrative and clerical tasks, such as providing support to our managers and employees, assisting with daily office needs and managing our company’s general administrative activities, particularly making travel and meeting arrangements, preparing reports and maintaining appropriate filing systems. You will have to ensure the efficient and smooth day-to-day operation of our office.

You should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment. It is also required to have previous experience as a Secretary or Executive administrative assistant and familiarity within our industry.

Assist in managing and administering the day-to-day operations of the Community Association business. Maintain communications with the Board of Directors, Association Manager, Association Staff, and homeowners.

Responsibilities:

  • Greet residents and answer basic association questions
  • Complete violation inspections and process violation notices
  • Process all parking and pool applications
  • Process repair requests
  • Update all unit files with current contact information
  • Process community emails and send out community email blasts as needed
  • Process and save work orders
  • Work with on-site staff to ensure prompt and effective resolutions to emergency maintenance

matters

  • Assist in completing meeting packets
  • Post notices to the community

Experience:

  • Associate Degree or higher preferred
  • 2+ Years of experience in Association Management preferred
  • Demonstrates advanced knowledge of Microsoft Office: Excel, Word
  • Effective written and verbal communication skills.
  • Action and results-oriented, enthusiastic.
  • Excellent customer service skills and ability to multitask in a fast-paced environment.
  • Experience with a high workload volume while also knowing when to ask for help and ask questions when the information is unfamiliar.
