09:00 – 17:30 Monday to Thursday
09:00 – 17:00 Friday
One late working evening until 7pm fortnightly.

Purpose of the Role
This is a varied dual role position combining client services administration with trainee paraplanning responsibilities. You will work closely with Financial Planners, Paraplanners, and the wider team to ensure clients receive a professional, efficient, and high-quality service.
The role is ideal for someone looking to build a long-term career in financial planning, with the opportunity to develop technical knowledge and progress into a Paraplanner or Financial Planner role.
Key Responsibilities
Client Services Duties
- Act as first point of contact for client enquiries by phone and email.
- Maintain and update client records on CRM systems (e.g. XPLAN) and provider platforms.
- Process new business applications, withdrawals, fund switches, top-ups, rebalances, and policy servicing requests accurately and efficiently.
- Send Letters of Authority (LOAs) to providers and follow up outstanding information.
- Prepare and issue client documentation via DocuSign and post.
- Arrange client annual review meetings and manage adviser diaries.
- Contact prospective new clients and arrange introductory appointments.
- Support the wider team with day-to-day administrative tasks.
Trainee Paraplanner Duties
- Prepare and check client fact finds and supporting documentation.
- Gather and analyse information on clients’ existing pensions, investments, and protection plans.
- Assist with research into suitable financial planning solutions based on client objectives.
- Prepare suitability reports and recommendation packs for review by Financial Planners.
- Produce portfolio valuations, performance reports, and review meeting packs.
- Support client review meetings with accurate and timely documentation.
- Ensure all files are complete, accurate, and compliant.
- Keep up to date with provider changes, tax rules, pensions, and investment markets.
- Work towards professional qualifications and continuous development.

Knowledge & Experience
- Previous experience in administration preferred.
- Understanding of the financial planning process desirable.
- Experience using CRM systems such as XPLAN advantageous.
- Knowledge of pensions, investments, and protection products beneficial.
- Working towards or interested in studying for the Level 4 Diploma in Financial Planning desirable.
