Overview:
In this role, you will provide comprehensive executive and operational support to the Chief Data & Analytics Officer (CDAO). In addition to traditional executive assistant responsibilities, you will support reporting workflows, coordinate cross-functional initiatives, and assist in preparing materials for senior leadership.
Your responsibilities will include managing calendars, overseeing logistics, handling financial and administrative tasks, and supporting reporting and operational processes. Strong communication skills, attention to detail, and sound judgment are essential as you work closely with both internal and external stakeholders to ensure smooth execution of priorities.
Responsibilities:
Manage and maintain the CDAO’s calendar, including scheduling across multiple time zones
Screen and prioritize emails, messages, and inbound requests
Coordinate domestic and international travel, including detailed itineraries and logistics
Prepare presentations and briefing materials (including working with dashboards and reports as needed)
Support preparation and distribution of recurring reports and performance summaries
Review reports and dashboards for completeness, consistency, and accuracy prior to distribution
Help track and organize incoming analytics and reporting requests from stakeholders
Ensure requests are clearly documented and aligned with business priorities
Track and manage team initiatives, reporting timelines, and cross-functional deliverables via Monday.com
Act as a liaison between teams and stakeholders to ensure alignment on priorities, timelines, and deliverables
Summarize reports and key business updates into clear, concise briefings
Prepare business cases and updates for leadership reviews and board-level materials
Identify operational or reporting bottlenecks and escalate issues with recommended mitigation steps
Assist in tracking documentation and compliance-related deliverables for the team
Assist in coordinating with vendors, platform providers, and external partners
Take notes during key meetings and ensure timely follow-ups on action items
Handle expense reporting, invoice processing, and other financial matters
Facilitate clear communication of directives, timelines, and expectations across stakeholders
Assist with personal tasks as needed, maintaining a high level of trust and discretion
5+ years of experience as an Executive Assistant, preferably supporting C-level executives (experience supporting data, technology, or analytics leaders is a plus)
Bachelor’s degree in Business Administration, Accounting, or a related field (or equivalent experience)
Exceptional English communication skills, both written and verbal
Proven experience managing complex calendars and logistics across time zones
Strong organizational skills with the ability to multitask and prioritize in a fast-paced environment
Demonstrated ability to handle confidential information with discretion
Strong proficiency in Microsoft Suite (Word, Excel, PowerPoint), Zoom, and Teams
Strong Excel or Google Sheets skills required
Comfortable working with reports, metrics, and structured data
Experience supporting reporting or operational workflows is a plus
Ability to summarize information clearly and effectively for senior stakeholders
Comfortable working independently in a fully remote environment
Must be sharp, polished, professional, and resourceful
Impeccable diligence and attention to detail is required
Must be flexible, adaptable, and responsive to frequent changes in priorities
Strong problem-solving skills, including planning, coordination, and troubleshooting
Financial and operational literacy, including experience with budgets and expenses
Proactive mindset with a strong work ethic and high energy level
Ability to manage multiple projects and meet deadlines consistently
Evening/weekend “on call” availability required
