The Bookkeeping Specialist is a vital member of Zirtual. As the main point of contact for clients, the Bookkeeping Specialist works independently while receiving support from an assigned Account Supervisor. The Account Supervisor assists with client relationships, plan modifications, questions, and provides feedback on quality, delegation, and overall performance.
As a Bookkeeping Specialist, you will play a critical role in managing the financial health of client businesses. You will oversee day-to-day financial transactions, ensure accurate recordkeeping, and provide timely reporting. This role requires strong attention to detail, organization, and the ability to manage multiple priorities in a fast-paced environment.
Assistants are expected to be available for clients during business hours as agreed upon with each client but around-the-clock availability is not expected. Virtual Assistants send weekly usage reports, respond to all communication within a two-hour response window, maintain detailed and up-to-date client profiles, and follow Zirtual’s best practices for success.

Typical Duties and Responsibilities (May vary depending on client needs)
Bookkeeping & Financial Management
- Record and maintain accurate financial transactions
- Manage accounts payable and accounts receivable
- Reconcile bank, credit card, and other financial accounts
- Maintain general ledger and ensure proper categorization of expenses
Invoicing & Payments
- Prepare and send invoices to clients
- Track incoming payments and follow up on outstanding balances
- Process vendor payments and maintain payment records
Financial Reporting
- Prepare monthly, quarterly, and annual financial reports
- Assist with budgeting and forecasting
- Provide insights into financial performance and trends
Account Reconciliation & Compliance
- Perform regular account reconciliations
- Ensure accuracy and completeness of financial data
- Maintain compliance with financial regulations and company policies
Client Communication & Support
- Serve as the primary contact for bookkeeping-related inquiries
- Communicate professionally with clients regarding financial matters
- Assist clients in understanding reports, expenses, and financial processes
Administrative & Organizational Tasks
- Maintain organized and up-to-date financial records
- Track time and workload accurately as required
Requirements
Skills & Attributes
- Strong knowledge of bookkeeping principles and financial practices
- Excellent attention to detail and accuracy
- Ability to manage multiple clients and deadlines
- Strong communication and problem-solving skills
- Ability to work independently in a remote environment
Preferred
- Bilingual (English/French)
- Experience working with multiple clients or small businesses
Qualifications
- Associate’s or Bachelor’s degree in Accounting, Finance, or related field (or equivalent experience)
- Minimum 2–4+ years of bookkeeping experience
- Experience with financial reporting, reconciliations, and general accounting practices
Technical Skills
- Bookkeeping software (e.g., QuickBooks, Xero, or similar)
- Familiarity with financial tools and reporting platforms
Work Requirements
- Reliable high-speed internet, computer, and phone
- Ability to maintain confidentiality and data security standards
- Available during business hours PST or EST Monday–Friday, unless otherwise agreed in writing with each client
Compensation
You will be compensated as an independent contractor. VA’s are paid a set amount of their client’s monthly plans with monthly pay averaging $1500-$3800 per month depending on the client mix.
