We are seeking a detail-oriented and reliable Virtual Assistant with a strong foundation in bookkeeping and administrative support. The ideal candidate will assist in maintaining organized financial records, supporting billing cycles, and managing project expenses. Experience with QuickBooks (Online and Desktop) and familiarity with AIA formats in Excel is required. Bonus points for experience with accounts receivable (AR) and accounts payable (AP).

Responsibilities

  • Maintain and manage the billing cycle with accuracy and timeliness

  • Track project-related expenses and ensure proper documentation

  • Perform baseline bookkeeping tasks, including data entry and reconciliation

  • Work with AIA formats through Excel for invoicing and reporting

  • Utilize QuickBooks Online and Desktop for financial management

  • Organize and maintain company books for easy accessibility and audit-readiness

  • Track and categorize all business expenses

  • Assist in organizing architectural/engineering drawings and tabulations

  • Provide general virtual assistance as needed, based on availability

  • Support AR/AP processes if experienced (preferred, not required)

  • Understanding of union based payroll a Plus

  • Project management/ scheduling, costing

  • Sending/receiving shop drawings and organizing to keep current

  • Understanding of Bluebeam software a plus

  • Writing safety plans

Qualifications

  • Proven experience with QuickBooks (Online and Desktop)
  • Proficiency in Microsoft Excel (especially AIA format handling)
  • Strong organizational and time management skills
  • High attention to detail and accuracy
  • Bookkeeping or accounting background preferred
  • Experience in construction or architectural industries a plus
  • Excellent communication skills

Nice to have

  • AR/AP experience
  • Familiarity with construction project billing and documentation
