Our client is a premium Australian brand known for its innovation, precision, and excellence in the home and lifestyle space.
They are seeking Executive Virtual Assistants to support senior leadership and drive operational efficiency, supporting the Executive Assistant (EA) to the CEO, and the Chief Operating Officer (COO).
Job Responsibilities:
Virtual Assistant to the Executive Assistant (EA) to the CEO
- Assist in managing inbox, tasks, and scheduling
- Conduct research and summarise business insights
- Draft and format documents, presentations, and meeting agendas
- Use AI tools (ChatGPT, TL;DV) for transcriptions and task follow-ups
- Maintain trackers, Trello boards shared docs, and support logistics
- Handle ad hoc admin tasks with urgency and discretion
Virtual Assistant to the COO
Monitor and triage the COOβs inbox, flag priorities, and draft responses
Manage daily calendar β including reschedules and protected focus blocks
Track deliverables and ensure timely task completion
Format and edit reports and Google Slide presentations
Use Trello and AI tools to streamline project visibility and reduce admin
Support ongoing projects with proactive follow-ups
2β3+ years in a Virtual Assistant or Executive Assistant role
Experience supporting senior executives remotely
Strong written and verbal communication in English
Exceptional task prioritisation and time management skills
Proficient in Google Workspace (Docs, Slides, Gmail, Calendar)
Experience with Trello, ChatGPT, TL;DV (or similar tools)
High level of integrity, discretion, and attention to detail
Flexible, proactive, and results-oriented
