Reporting to: Learning Design Operations Coordinator
Job summary:
The Learning Design Administrator supports the Learning Design team by undertaking a range of administrative tasks including planning, scheduling and organising of resource and stakeholder management, to ensure the learning design team is supported and new starters on boarded. By reviewing and collating reports and schedules, organising data and collating documentation, and supporting aspects of the student experience, this role requires active involvement in preparation for unit development and work in project management tools. The Learning Design Administrator will provide clear, consistent and organised support to members of the Learning Design team.
Key Responsibilities
Facilitate, record, and distribute online department meetings.
During peak times, assist Learning Design team with scheduling meetings, academic communication, events, etc.
Maintain a file management approach allowing naming conventions and file storage to be accessible to all.
Maintain comprehensive documentation of workflow and processes to ensure transparency and accountability.
Generate spreadsheets/reports/dashboards for data analysis purposes.
Ensure the Learning Design teams have schedules and folders set-up for development
Maintain Monday.com as a project management tool
Advanced ability with Excel to collate and manipulate data
Liaise with international teams, such as IT and People and Culture, to ensure team members have the necessary tools to succeed
Implement e-textbooks in the learning management system.
Maintain an information repository for unit development resources.
Liaise with teams within OES, including Student Operations and the Academic team about individual student textbook requirements.
Liaise with external teams, such as partner libraries, publishers and companies about the procurement of e-texts, physical texts, and software licenses for students.
Maintain best practices for on-boarding and movements within the Learning Design team
Assist with liaising with the academic and wider teams to confirm unit availability and accuracy of course planners
Troubleshoot and escalate technical questions from the Learning Design team

What does success look like?
Project management tools such as Monday.com are optimised for best practice to allow unit development to run smoothly
Maintain strong and collaborative relationships between OES internal and external stakeholders.
Assist in maintaining the relationships and communication between international teams
On boarding of new starters and management of movements of staff across LD team run smoothly
A motivated, performance focused team
Previous experience in a fast paced administrative role with excellence in:
- building excellent relationships with stakeholders
- proactively driving new and innovative ways of doing things
- attention to detail and exceptional spelling, grammar and written communication skills
- exceptional personal organisation skills and the ability to work autonomously
- producing quality outputs to tight timelines within a team.
- advanced Excel skills
- proficiency in Microsoft Word, PowerPoint, Outlook, Teams
