We’re looking for a proactive, detail-oriented Executive Assistant with operations or management experience to support our executive team and help drive organizational efficiency. This role blends high-level administrative support with strategic and operational responsibilities to enhance overall effectiveness.
Responsibilities:
- Executive Support:
- Provide comprehensive administrative support to senior executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Prepare and review correspondence, reports, and presentations, ensuring accuracy and timely delivery.
- Serve as a liaison between executives and internal/external stakeholders, managing communications and prioritizing inquiries.
- Operations Management:
- Assist in the development and implementation of operational policies and procedures to streamline business processes.
- Oversee day-to-day operations, including office management, facilities coordination, and vendor management.
- Monitor and report on key performance metrics and operational goals, providing insights and recommendations for improvements.
- Project Coordination:
- Manage and track the progress of various projects, ensuring deadlines are met and deliverables are achieved.
- Collaborate with cross-functional teams to coordinate project activities and resolve any issues or roadblocks.
- Prepare project status reports and presentations for executive review.
- Event Planning:
- Organize and coordinate internal and external events, including meetings, conferences, and company functions.
- Handle logistics such as venue selection, catering, and guest arrangements to ensure successful event execution.
- Administrative Functions:
- Maintain and update confidential files and records, ensuring data integrity and compliance with company policies.
- Handle expense reports, budget tracking, and procurement of office supplies.
- Perform additional administrative tasks as needed to support the executive team and operational needs.
- Sales Experience (Required):
- Minimum of 3 years of experience in sales, either B2B or B2C.
- Proven senior-level expertise in sales with a dedicated focus on sales functions (not part of a broader or mixed role).
Qualifications:
- Bachelor’s degree in Business Administration, Management, or a related field preferred.
- Minimum of 2 years of experience as an executive assistant, office manager, or in a similar administrative role, with a focus on operations or management.
- Minimum of 3 years of proven experience in sales, either B2B or B2C, with senior-level, focused sales responsibilities.
- Proven experience in managing administrative functions and operational processes.
- Exceptional organizational and multitasking skills, with a strong attention to detail.
- Excellent written and verbal communication skills, with the ability to interact professionally with executives, clients, and team members.
- Proficiency in G-Suite Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management and office productivity tools.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Strong problem-solving skills and the ability to work independently and as part of a team.
