Job description
Zipdev is seeking a highly organized and proactive Executive Assistant to support two executives leading a growing business in the building services industry. This role requires someone who can manage both business-related and personal tasks, helping the executives stay focused on strategic priorities while ensuring day-to-day operations run smoothly. The ideal candidate is bilingual, tech-savvy, detail-oriented, and has experience working in fast-paced environments where communication, discretion, and initiative are key.
Key Responsibilities:
- Email & Communication Management: Prioritize, organize, and draft professional email correspondence across multiple inboxes.
- Calendar Management: Coordinate meetings, appointments, and events across various schedules, including both business and personal commitments.
- Sales Support: Assist with business development efforts by updating the CRM (HubSpot), researching prospects, and supporting follow-ups.
- Administrative Assistance: Prepare documents, manage digital files, and provide general administrative support.
- Travel Planning: Organize business and personal travel, including booking flights, accommodations, and creating detailed itineraries.
- Personal Assistance: Support with tasks such as appointment scheduling, online orders, event planning, and general life admin.
- CRM & Systems Support: Utilize HubSpot CRM, Slack, and Google Workspace to support communication, task tracking, and workflow.
- Task Management & Reminders: Keep track of important deadlines, recurring tasks, and daily priorities.
Qualifications:
- Fluent in both English and Spanish (written and verbal).
- Previous experience as an Executive Assistant or Personal Assistant.
- Strong organizational skills with the ability to juggle multiple priorities.
- Experience supporting sales teams or executives in a client-facing environment.
- Proficiency in Google Workspace, Slack, and HubSpot CRM (or similar tools).
- High level of discretion in handling confidential information.
- Self-motivated, resourceful, and comfortable working independently.
- Knowledge or familiarity with New York City culture and business landscape is a plus.
Work Environment:
- Remote work from Latin America.
- Must be available to align with U.S. Eastern Time business hours.
- Fast-paced and collaborative environment.
Our Recruitment Process
Video Interview
20-minute take-home skills test
30-minute Call with the Recruiter (project, benefits, etc.)
Interviews directly with the client (depending on the project the # of interviews may vary, this may include an assessment)
Final Offer
Work remotely Monday - Friday, 40 hours a week (no weekends)
Vacation: 10 business days a year
Holidays: 5 National Holidays a year
Company Holidays: 5 Company Holidays a year (Christmas Eve, Christmas Day, New Year’s Eve, New Year’s Day, Zipdev Day)
