Title: CPT-10148 Executive Assistant Team to CEO & President (Global Coverage)
Independent Contractor – [Role/Service Category/Tier Level] (Remote).
Overview
20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.
We are hiring an elite Executive Assistant to support the Founder/CEO and President of a rapidly scaling cybersecurity company.
This is not a passive admin role — it’s a frontline operations and intelligence support position for two global executives who move fast, travel constantly, and manage critical international relationships.
We’re seeking a woman with edge — confident, multilingual, and unflappable — who can think on her feet, anticipate needs, and execute flawlessly. She will operate from the Asia Pacific region.
Fluency in English is required, with clear pronunciation and highly professional written communication skills.
Additional skills in Mandarin Chinese are a plus.
Scope of Services
Contractors will be required to provide services that align with the following client tasks:
1. Executive Coordination & Scheduling
Own and manage complex calendars across multiple global time zones.
Coordinate executive meetings, investor sessions, and internal briefings.
Anticipate scheduling conflicts and proactively realign priorities.
Ensure executives are prepared for every meeting with context, briefing docs, and travel alignment.
2. Global Travel & Itinerary Control
Manage all logistics for international travel: flights, hotels, ground transport, and on-site coordination.
Adjust plans in real time when schedules shift.
Prepare detailed itineraries and contingency plans for every trip.
Build and maintain trusted global travel vendor relationships.
3. Communication & Stakeholder Liaison
Handle high-level correspondence across time zones; draft and polish communications for executives.
Coordinate with global partners, investors, and clients — especially across Asia and the Middle East.
Maintain inbox discipline: triage, prioritize, and summarize key threads daily.
Provide daily updates to executives summarizing meetings, decisions, and critical actions.
4. Administrative, Expense & Ops Support
Manage expense reporting, reimbursements, and finance documentation.
Maintain organized digital records of receipts, contracts, and operational documents.
Track renewals, memberships, and key subscriptions globally.
Liaise with finance, HR, and legal operations for executive support.
5. Strategic Support & Confidential Projects
Handle confidential projects and correspondence with complete discretion.
Support preparation of reports, board decks, and investor communications.
Provide personal support for executives as needed (travel, logistics, personal scheduling).
Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.
Skills
The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:
4+ years of experience supporting C-level executives, preferably in fast-paced or global organizations.
Strong English fluency (spoken/written). Additional skill in Mandarin is a plus.
Exceptional organizational and problem-solving skills.
Mastery of time zone coordination and rapid scheduling changes.
Tech-fluent — able to adapt quickly to new digital tools and workflows.
Comfortable with flexible hours and high travel cadence.
Bachelor’s degree required; advanced degree preferred.
Experience in cybersecurity, tech, or venture environments is a plus.
Exceptionally sharp and reliable — able to anticipate needs, think three steps ahead, and execute with accuracy.
Globally aware, with a strong understanding of cultural nuances across Asia, the Middle East, and Europe.
Calm and composed under pressure — no drama, only clear thinking and strong problem-solving.
Loyal, discreet, and highly trustworthy, capable of handling sensitive and confidential information with absolute integrity.

Work Schedule
- Contracted Hours per Week: 40 Hours
- Scheduled Working Days: Monday through Friday
- Daily Working Time: 8 AM - 5 PM Tokyo time
Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.
Terms of Engagement
- Contractors will operate under a Master Services Agreement and a Statement of Work
- This is not an offer of employment; contractors are not employees of 20four7VA or any client
- All compensation is processed through 20four7VA according to the terms of the engagement
