CPT-10671 - Logistics & Trucking Operations Virtual Assistant – [Business Support/Junior - Senior Level] (Remote).

Overview

20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

We are seeking a highly organized and experienced Business Support Virtual Assistant to support daily logistics and trucking operations.

The ideal candidate has prior experience in freight coordination, dispatch operations, shipment tracking, and carrier communication. This role requires strong attention to detail, proactive communication skills, and the ability to manage multiple shipments and client accounts simultaneously.

The VA will play a critical role in ensuring shipments are dispatched on time, tracking updates are accurate, and billing discrepancies are resolved efficiently.

The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.

Scope of Services

Contractors will be required to provide services that align with the following client tasks:

1. Account Setup & Onboarding

  • Set up trucking accounts for new clients.
  • Maintain accurate records of client information in CRM and tracking sheets.
  • Ensure all documentation and account details are properly organized.

2. Dispatch & Shipment Coordination

  • Dispatch LTL (Less-than-Truckload) and TL (Truckload) shipments for pickup.
  • Coordinate directly with carriers to confirm pickup and delivery schedules.
  • Monitor shipment status and proactively communicate updates to clients.

3. Shipment Tracking & Customs Coordination

  • Track shipments daily and provide status updates.
  • Coordinate with brokers for customs clearance when required.
  • Escalate delays or issues promptly and recommend solutions.

4. Billing Review & Dispute Management

  • Review rebills and resolves disputes related to GTZ shipments.
  • Verify carrier invoices and identify discrepancies.
  • Coordinate with carriers and internal teams to ensure billing accuracy.

5. Quoting & Customer Service

  • Prepare and send freight quotes to customers.
  • Respond to customer inquiries regarding rates, transit times, and shipment updates.
  • Maintain professional and courteous communication with clients and carriers.

Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.

Skills

The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:

  • 3+ years’ experience in logistics, freight brokerage, trucking operations, or dispatch support.
  • Strong understanding of LTL and TL shipment processes.
  • Experience coordinating with carriers and customs brokers.
  • Familiarity with freight billing, rebills, and dispute resolution.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal English communication skills.
  • Neutral or near-native English accent.
  • Ability to work evening shifts reliably.
  • Detail-oriented with strong problem-solving skills.

Work Schedule

  • Contracted Hours per Week: 40 Hours
  • Scheduled Working Days: Monday through Friday (may require flexibility based on shipment schedules)
  • Daily Working Time: Evening Shift (Specific hours to be confirmed) EST.

Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.

Terms of Engagement

  • Contractors will operate under a Master Services Agreement and a Statement of Work
  • This is not an offer of employment; contractors are not employees of 20four7VA or any client
  • All compensation is processed through 20four7VA according to the terms of the engagement
