Title: Independent Contractor – B-CPT-10733 Real Estate Operations & Bookkeeping Virtual Assistant (Bilingual)/Business Support VA/Junior Level (Remote).
Overview
20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.
The client is a former real estate broker who currently manages multiple rental units and is seeking a Virtual Assistant based in Asia who can speak Spanish, or one based in Latin America, to support both business and personal administrative responsibilities. The role includes property management, administrative tasks, basic bookkeeping, personal schedule coordination, and simple social media posting for rental listings. The client will provide all content and templates for social media; the VA’s primary responsibility will be execution, posting, and coordination rather than content creation.
The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.
Scope of Services
Contractors will be required to provide services that align with the following client tasks:
1. Real Estate Operations Support
- Monitor rental payments and track tenant payment status.
- Track and categorize property-related expenses.
- Maintain property inventories with descriptions and allocation to specific units.
- Assist with rental listing postings on Zillow, social media, Airbnb, and other platforms.
- Communicate with vendors, including Spanish-speaking vendors using translation tools.
2. Bookkeeping Support
- Assist in setting up and maintaining bookkeeping systems using QuickBooks Online, Xero, or similar tools.
- Set up the Chart of Accounts and categorize transactions properly.
- Track vendor purchases and property expenses.
- Reconcile accounts monthly and prepare financial summary reports.
3. File & Document Management
- Create master Google Drive folders for each property and mirror them on local devices.
- Set up subfolders (Leases, Utilities, Vendors, Photos, Appliances).
- Organize, upload, and properly categorize all property and business documents.
- Ensure zero misplaced documents and maintain consistent naming conventions.
4. Tool Research & System Implementation (Major Portion of the Role)
- Research free or cost-effective alternatives to current tools.
- Compare features, test usability, and prepare recommendations.
- Implement approved tools and assist with data migration.
- Document workflows and create standard operating procedures (SOPs).
- Continuously improve workflows, automation, and operational processes.
5. Calendar & Administrative Support
- Manage and coordinate medical appointments, therapy schedules, and reminders.
- Add lease reminders, recurring tasks, and key dates to Todoist.
- Support personal and family administrative tasks as needed.
- Participate in Google Meet work sessions and scheduled check-ins.
Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.
Skills
The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:
- Experience in real estate operations or property management support is preferred.
- Strong bookkeeping background using Xero or QuickBooks.
- Highly organized with strong attention to detail.
- Skilled in digital file management and system setup.
- Strong research and analytical skills for tool comparison and workflow improvement.
- Ability to communicate professionally with tenants, vendors, and service providers.
- Comfortable with ongoing process optimization and documentation.
- Ability to manage confidential information discreetly.
Required Tools & Platforms
The candidate must be comfortable using:
- Xero, QuickBooks Online, or similar accounting tools
- Google Workspace: Drive, Photos, Gmail, Chat, Meet, and Sheets
- Zillow, Airbnb, and Miami Realtor platforms
- Todoist
- Zoho Expense (research and implementation)
- TeamViewer
- Google Keep
- VPN for secure access to client systems and platforms
Access to tools will be provided by the client.
Additional Requirements
- The VA must have a working camera.
- The VA must keep its camera on for the entire shift during Google Meet sessions.
Work Schedule
- Contracted Hours per Week: 20 Hours
- Scheduled Working Days: Monday through Friday
- Daily Working Time: 12 PM- 4 PM EST
Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.
Terms of Engagement
- Contractors will operate under a Master Services Agreement and a Statement of Work
- This is not an offer of employment; contractors are not employees of 20four7VA or any client
- All compensation is processed through 20four7VA according to the terms of the engagement
