We are recruiting an Executive Assistant to support a U.S.-based healthcare staffing and workforce solutions provider that partners with nursing homes and long-term care facilities. This fully remote, full-time role is ideal for a highly organised, detail-oriented professional who thrives in a fast-paced environment and can confidently manage data, systems, and communication across multiple channels.

This role will focus heavily on data entry, advanced Excel usage, CRM management, and email coordination, while also providing general administrative and operational support to the executive team.

PLEASE NOTE:

  • Working Hours: Monday – Friday | 9:00 AM – 6:00 PM EST (3:00 PM – 12:00 AM South African time – subject to daylight savings).
  • Public Holidays: This role requires working on both South African and U.S. public holidays (compensation for SA public holidays in accordance with the BCEA).
  • Internet Requirements: A fixed fibre line with a minimum speed of 25 Mbps (upload & download) and wired Ethernet capability is mandatory. Applicants without a fixed fibre line cannot be considered.
  • Power Backup: Reliable backup required to manage load shedding or outages. Applicants without a power backup cannot be considered.
  • Work Environment: Fully remote.

Key Responsibilities:

  • Provide high-level administrative support to executives and leadership
  • Perform accurate and efficient data entry, with a strong focus on Excel-based reporting and tracking
  • Manage and maintain CRM systems, ensuring data integrity and up-to-date records
  • Coordinate and manage email communications, including drafting, responding, and organising inboxes
  • Assist with scheduling, task tracking, and follow-ups on key deliverables
  • Support operational processes and workflows across the business
  • Handle ad hoc administrative tasks as required
  • Identify opportunities to improve systems, processes, and efficiency

Requirements:

  • Previous experience as an Executive Assistant or in a similar administrative role
  • Advanced Microsoft Excel skills (essential)
  • Experience working with CRM systems (e.g., HubSpot, Monday.com, Asana, or similar)
  • Strong organisational and time management skills
  • High attention to detail and accuracy, especially when working with data
  • Excellent written and verbal English communication skills
  • Proactive, adaptable, and quick to learn new systems and processes
  • Ability to work independently in a remote environment and manage multiple priorities
  • Experience in healthcare, staffing, or workforce solutions environments is advantageous
