Join our team as an Onboarding Coordinator (ABA Services | US Healthcare), supporting clinicians providing ABA therapy services across the United States. In this role, you will manage the end-to-end onboarding process for clinicians, ensuring all required documentation is obtained, verified, and processed accurately. You will serve as the first point of contact and the face of the company to clinicians, delivering a professional, organized, and positive onboarding experience.

This role involves both voice and administrative/data-entry tasks, requiring strong communication skills, attention to detail, and the ability to manage multiple onboarding tasks in a fast-paced environment.

PLEASE NOTE:

  • Working Hours: Monday – Friday | 9:00 AM – 6:00 PM EST (4:00 PM – 01:00 AM South African time – subject to daylight savings).
  • Public Holidays: This role requires working on both South African and U.S. public holidays (compensation for SA public holidays in accordance with the BCEA).
  • Internet Requirements: A fixed fibre line with a minimum speed of 25 Mbps (upload & download) and wired Ethernet capability is mandatory. Applicants without a fixed fibre line cannot be considered.
  • Power Backup: Reliable backup required to manage load shedding or outages. Applicants without a power backup cannot be considered.
  • Work Environment: Fully remote.

Job Responsibilities (not limited to):

  • Manage the onboarding process for clinicians providing ABA services.

  • Communicate directly with clinicians via phone and email to collect required documentation.

  • Review and verify onboarding documentation for completeness and accuracy.

  • Perform data entry and maintain accurate records within internal systems.

  • Proactively follow up on outstanding documents and onboarding requirements.

  • Handle multiple onboarding tasks simultaneously in a fast-paced environment.

  • Provide a professional, friendly, and confident first impression of the company.

  • Identify process improvements and assist with additional administrative tasks as needed.

  • Working Experience:

    • No specific ABA Therapy/Services industry experience required, but a definite plus.
    • Experience in the Healthcare industry will also be advantagous.
    • Previous experience in recruitment, HR, onboarding, or administrative support is required.
  • Soft Skills:

    • Excellent verbal and written English communication skills.
    • Highly organized and detail-oriented.
    • Friendly, professional, and confident when engaging with clinicians.
    • Proactive and able to manage multiple tasks efficiently.
    • Comfortable working within structured processes while also thinking outside the box when needed.
    • Able to thrive in a fast-paced, deadline-driven environment.
  • Technical Skills:

    • Basic computer skills and navigation.
    • Proficiency in MS Office and Outlook.
    • Comfortable performing accurate data entry and system updates.
