We are seeking an Operations & Purchasing Administrator to support purchasing, order tracking, and invoice processing across multiple U.S.-based healthcare facilities. This is a support and coordination role focused on accurate processing, follow-ups, and ensuring smooth day-to-day operational flow.
This role is suited for candidates who are detail-oriented, process-driven, and enjoy keeping operations running smoothly behind the scenes.
PLEASE NOTE:
- Working Hours: Monday – Friday, 9:00 AM – 6:00 PM EST
(4:00 PM – 1:00 AM South African Time; subject to change due to daylight savings or operational requirements)
- Work Environment: Fully remote
- Public Holidays: You will be required to work on both South African and U.S. public holidays
(SA public holidays compensated in accordance with the BCEA)
- Internet Requirements: Fixed fibre line with a minimum speed of 25 Mbps (upload & download) and a wired Ethernet connection
- Power Backup: A reliable power backup solution is mandatory due to load shedding
Key Responsibilities:
Process and track purchase requests and orders using internal systems
Perform basic budget checks and confirm required approvals before processing
Assist with sourcing approved non-catalogue items as required
Communicate with facilities and suppliers regarding order status, delays, and deliveries
Match supplier invoices to purchase orders and flag discrepancies
Track rental and equipment usage and support timely return processes
Maintain accurate records and documentation to support smooth operational workflows
Experience in an administrative, operations, or finance support role
Strong attention to detail and ability to manage multiple tasks simultaneously
Comfortable working with systems, data capture, and structured processes
Clear written and verbal communication skills
Reliable, organized, and able to work independently in a remote environment
Background in operations, logistics, finance administration, or supply chain support
Experience supporting multiple stakeholders or facilities
Exposure to compliance-driven or healthcare environments
