ISTA Personnel Solutions is a dynamic and fast-growing BPO company. We are not a recruitment agency — we operate as a dedicated extension of our U.S.-based clients’ teams, delivering high-quality service with precision, efficiency, and a personal touch.

We’re looking for a Recruitment Data Entry & Compliance Administrator to join our growing team supporting a U.S.-based client that specializes in placing travel healthcare therapists across the United States.

The ideal candidate is highly organized, efficient in Excel, and able to manage multiple priorities with accuracy and consistency. This role plays a key part in ensuring that job data, compliance records, and submission processes run smoothly and accurately.

PLEASE NOTE:

  • Working Hours: This role requires you to work EST hours Mon - Fri from 9am to 6pm EST (15h00 to 24h00 South African time - subject to change in accordance with daylight savings in the United States).
  • You will be required to work on both South African and US public holidays (compensation for SA public holidays in accordance with the BCEA)
  • Internet Requirements: A fixed fibre line with a minimum speed of 25 Mbps (upload & download) and the ability to support a wired Ethernet connection is mandatory. Applicants without a fixed fibre line cannot be considered.
  • Power Backup: A reliable power backup solution is required to manage load shedding and power outages. Applicants without a power backup cannot be considered.
  • Work Environment: This is a fully remote working role.

Key Responsibilities:

  • Data Entry & Job Management

    • Enter and update job information accurately on internal systems
    • Ensure job posts sync correctly to job boards and appear as expected
    • Communicate with clients to confirm or adjust job details when needed
    • Identify and resolve posting or syncing issues promptly
  • Compliance & Documentation

    • Conduct background checks and verify documentation for compliance purposes
    • Collect, review, and organize credentials and forms from candidates
    • Maintain accurate compliance records and track upcoming deadlines
  • Submission & Collections Support

    • Assist in preparing candidate submissions when team members are unavailable
    • Verify all information and documents are complete and error-free before submission
    • Support the collections process (when needed), following up on outstanding items professionally
  • Exceptional attention to detail — accuracy and consistency are your strengths

  • Strong Excel skills (filtering, sorting, organizing, basic analysis)

  • Tech-savvy and quick to learn new systems and platforms

  • Highly organized with strong time management skills

  • Excellent written and verbal communication skills

  • Dependable and flexible — able to handle occasional urgent updates after hours or on weekends

  • A collaborative mindset — eager to support team efficiency and continuous improvement

Preferred Background

  • Experience in recruitment data entry, compliance, or recruitment administrative roles
  • Familiarity with ATS platforms or job posting systems
  • Background in staffing, HR, or recruiting environments is an advantage.
