We are recruiting to place a Scheduling Coordinator on behalf of our US-Client, who is a premier provider of ABA therapy.
This role is ideal for someone who enjoys working with people, solving problems, and keeping things organised. You will play an important role in coordinating schedules between families and therapists, ensuring appointments are arranged efficiently while maintaining a high level of professionalism and customer service.,
PLEASE NOTE
- Working Hours: Monday β Friday | 15:00 PM β 12:00 AM (midnight) South African time. These working hours are subject to change depending on US daylight savings and/or the operational requirements of the company.
- Work Environment: This is a fully remote working role. You will be required to work on both South African and US public holidays (compensation for SA public holidays in accordance with the BCEA).
- Internet Requirements: A fixed fibre line with a minimum speed of 25 Mbps (upload & download) and the ability to support a wired Ethernet connection is mandatory. Applicants without a fixed fibre line cannot be considered.
- Power Backup: A reliable power backup solution is required to manage load shedding and power outages. Applicants without a power backup cannot be considered.
Key Responsibilities
Coordinate appointments between families and therapists efficiently
Communicate with families and therapists via phone, email, and other communication channels professionally
Assist with scheduling, rescheduling, and managing complex appointment changes
Maintain accurate scheduling records and update internal systems accordingly
Resolve scheduling conflicts in a professional, empathetic, and timely manner
Build and maintain positive relationships with both families and therapists
Work closely with the Scheduling Manager to ensure smooth daily operations
Follow up proactively to ensure appointments are confirmed, locked in, and completed
Deliver exceptional customer service during every single interaction
Previous customer service or client-facing experience is essential
Excellent verbal and written English communication skills with impeccable spelling and grammar
Strong interpersonal and relationship-building skills
Highly organised with exceptional attention to detail and accuracy
Proven ability to multitask and manage competing priorities without losing focus
Proactive nature with the ability to take initiative without constant supervision
Comfortable thriving in a fast-paced, dynamic environment
Strong problem-solving and solutions-driven mindset
