The Finance Division Operations Assistant is responsible for supporting the Managing Director of Opal Group’s Finance Division by providing research, coordination, documentation, and administrative support across daily sales, client, and team operations. The primary objective of this role is to help keep the Managing Director and team organized, informed, and moving forward by managing data, follow-ups, internal documents, and workflow execution.

This role supports a fast-paced, client-facing environment where organization, attention to detail, and the ability to manage multiple priorities are essential to the success of the Finance Division.

Job Type: FT International Consultant

Compensation: $1,500.00 USD per month

Location: Remote

Responsibilities include, but are not limited to:

  • Provide day-to-day administrative and operational support to the Managing Director, including document preparation, reporting, scheduling, follow-ups, and task coordination
  • Conduct research on prospective clients, investors, sponsors, and speakers to support sales and event strategy
  • Prepare and maintain internal trackers, calendars, and reporting tools to support market awareness, performance monitoring, and planning
  • Export, organize, and format data from agendas, reports, and internal systems for use in sales, marketing, and planning initiatives
  • Assist with preparing internal team documents, SOPs, benchmarks, and performance materials based on the Managing Director’s direction
  • Coordinate client-related tasks such as scheduling calls, collecting materials, confirming deliverables, and managing follow-up communications
  • Support sponsor and speaker coordination by tracking materials, deadlines, and marketing deliverables
  • Assist with sourcing and coordinating potential event venues through existing client relationships when needed
  • Perform light outreach and administrative follow-up with clients and prospects on behalf of the Managing Director
  • Maintain accurate records of client, sponsor, and conference data in CRM and internal systems
  • Collaborate with internal teams to ensure priorities, deadlines, and communications are properly aligned
  • Support sales and audience development activity as needed during slower periods

Qualifications:

  • Bachelor’s degree in Business, Marketing, Communications, or a related field is preferred
  • Valid U.S. entry visa preferred
  • Advanced English skills in verbal and written communication are required
  • Strong organizational skills with exceptional attention to detail
  • Professional, polished, and client-ready communication style
  • Comfortable conducting research, managing data, and preparing reports
  • Proficiency in Microsoft Office, especially Excel; experience with CRM systems is a plus
  • Ability to manage multiple priorities, follow direction, and execute with minimal oversight
  • Self-motivated and able to work both independently and as part of a team
