Job Description

As an Executive Assistant at SEEK, you’ll be part of a fast-paced and supportive environment where you can make a real difference. You’ll work on complex challenges that have a direct impact on people’s lives, helping us evolve our business and reach new heights.

As a dynamic and driven Executive Assistant (EA), you’ll work with little direction to support the Group Executive - Commercial, ensuring they have what they need to seamlessly serve the needs of our clients and meet their internal commitments and goals. You will anticipate the needs of your Executive and look ahead to prevent problems before others know they even exist! The position involves heavy scheduling (and rescheduling) of internal and client meetings, booking travel, managing team logistics, keeping track of time and expenses, and keeping up with the fast pace of our Commercial Team.

We operate in a hybrid model, meaning you’ll be in the office as your Executive requires you and have flexibility to work remotely (if you choose) for the other part of the week. EAs help shape our culture by actively participating in office life and collaborating across functions to help fellow team members.

Responsibilities

  • Partner proactively with your Executive and manage their time effectively in a fast-paced, high-volume, client service environment:
    • Own and drive calendar/complex meeting scheduling
    • Coordinating end-to-end travel needs, including booking all travel and hotels, visa requirements, directions, commuting time and ground transportation
    • Planning, coordinating, and executing special projects and events both onsite and offsite
    • Processing expenses on a timely basis
    • Supporting administrative aspects of your executives’ internal commitments: research & development, SEEK leadership committees, recruiting, etc.
    • Building effective working relationships (remotely) with key stakeholders.
    • Understanding your executives’ priorities and exercising sound judgment to make appropriate trade-offs
    • Facilitating the scheduling process with clients and their assistants, communicating with friendly professionalism and high attention to detail; building client relationships
  • Providing back-up support to other assistant team members
  • Obtaining and sharing information with wider team as needed; helping team members navigate internal resources

Qualifications

Skills and experience

  • Significant experience in an extremely faced paced environment supporting senior executives in a global business strongly preferred
  • Strong leadership and/or customer service experience
  • Demonstrated experience providing direct administrative support
