Job Description
We are seeking a high-energy, proactive, and exceptionally organized Virtual Assistant to serve as a Lifestyle Manager. This is not just a data-entry role; you will be the primary point of contact for customers, a gatekeeper for communications, and a strategic partner in managing the client’s professional and personal life.
The ideal candidate is a fast learner who doesn’t just follow instructions but brings suggestions to the table to improve efficiency.
Key Responsibilities:
- Communication & Sales Support: Act as the first point of contact by answering phone calls and emails. You must have a professional, clear accent suitable for customer-facing interactions.
- Email Management: Filter and manage different email accounts. This includes organizing threads, using labels in Gmail, and ensuring zero missed opportunities.
- Calendar & Meeting Coordination: Full management of the client’s calendar, including booking meetings and resolving scheduling conflicts.
- Administrative & Broker Relations: Reach out to brokers and customers, request W9 forms, and handle general administrative outreach.
- Light Accounts Receivable: Manage AR tasks once a week to ensure payments are tracked and processed.
- Lifestyle Management: Assist with various tasks to streamline the client’s day-to-day life, balancing sales-related administrative work with personal organization.
We need a “Type A” personality who thrives on organization. If you are someone who anticipates needs before they are mentioned and can pivot quickly between administrative tasks and sales outreach, you will excel in this position.
2–4 years of experience in a Virtual Assistant or Executive Assistant role.
Expertise in Google Workspace (specifically advanced Gmail labeling and Google Calendar).
- Fast and accurate typing skills.
Exceptional verbal and written English skills with a professional accent for phone-based customer interaction.
Ability to keep up with a fast-paced environment and learn new processes quickly.
A “problem-solver” personality who actively looks for ways to optimize the client’s workflow.
Strong organizational skills with an eagle eye for detail.
Currently living in Latin America
Work remotely Monday - Friday, 40 hours a week (no weekends)
Vacation: 10 business days a year
Holidays: 5 National Holidays a year
Company Holidays: 5 Company Holidays a year (Christmas Eve, Christmas Day, New Year’s Eve, New Year’s Day, Zipdev Day)
