Our client provides competitive online bidding solutions for Commercial, Industrial and Fine Art auctioneers globally, as well as businesses operating in Insolvency, Recovery and Turnaround; Aerospace; Electronics; Consumer Returns; Mining and Automotive industries

Duties and Responsibilities:

  • Calendar & Scheduling: Efficiently manage the CEO’s calendar, including scheduling meetings, internal reviews, investor calls, and off-sites across multiple time zones.
  • Email & Communication Management: Monitor, prioritize, and draft correspondence; filter incoming messages; and flag time-sensitive communications to ensure prompt responses.
  • Meeting Preparation & Follow-Up: Prepare meeting agendas, briefing documents, and presentations. Record key takeaways, capture action items, and track follow-ups to completion.
  • Travel Planning: Coordinate complex travel arrangements, including flights, accommodations, ground transportation, and detailed itineraries.
  • Administrative Support: Process expense reports, manage invoices, and handle various administrative and ad hoc requests with efficiency and accuracy.
  • Strategic Support: Collaborate with the CEO on special projects, research, and operational initiatives that support business objectives.
  • Confidentiality & Discretion: Handle sensitive information with the utmost confidentiality and professionalism.
  • Office & Culture Coordination (if applicable): Support company culture efforts through office logistics, internal events, and team engagement initiatives.

Must-have Skills / Qualification:

  • At least 3 years of proven experience in executive assistance or administrative support
  • High proficiency in Google Workspace (Docs, Sheets, Calendar, Drive, Gmail, etc.) and Slack for internal communication.

Advantageous

  • Exposure to working with an international client or company.

Behavioral Competencies:

  • Excellent organizational, time management, and communication skills
  • Ability to work independently and handle confidential information with discretion

Job Type: Full-Time Permanent

Schedule: Monday-Friday,4PM -12AM (Manila Time)
