Title: T-CPT-10836 CRM & Operations Systems Specialist
Independent Contractor – T-CPT-10836 CRM & Operations Systems Specialist/Technical VA/Senior-Advanced Level (Remote).
Overview
20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.
We are seeking a CRM & Operations Systems Specialist to partner closely with the owner of a boutique travel company focused on small, customized group trips. This is more than a typical CRM setup role—this position requires someone who can translate complex, real-world travel operations into an intuitive, organized, and scalable system for a one-person business.
The initial priority is to migrate and set up the CRM, but the ideal candidate will also provide operational workflow guidance, optimize processes, and support ongoing business projects. This is a flexible, project-based role with heavier hours during system transition and lighter, ongoing support thereafter.
The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.
Scope of Services
Contractors will be required to provide services that align with the following client tasks:
1. CRM Migration & System Setup (Tern Preferred, but Not Required)
- Lead the end-to-end migration of business systems, potentially from WeTravel or other platforms, into a new CRM.
- Build and configure a fully functional CRM from scratch, tailored to real-world travel operations.
- Map and transfer all relevant data, including client information, itineraries, payments, and supplier information.
- Ensure data integrity, accuracy, and proper organization throughout the migration.
- Customize CRM fields, workflows, and pipelines to reflect the business’s actual processes, not just standard CRM conventions.
2. Workflow Design & Operational Thinking
- Analyze and translate complex travel operations into a logical, scalable system.
- Design workflows that accommodate group trips with individual variations, layered logistics, and household-level client communication.
- Prioritize tasks, automate processes where possible, and ensure smooth daily operations.
3. Backend & Technical System Management
- Manage both the user interface and backend configurations of the CRM.
- Implement automations, integrations, and reporting tools to support efficient operations.
- Troubleshoot technical issues and maintain system performance and stability.
4. Data Management & Optimization
- Clean, organize, and validate existing data before migration.
- Remove duplicates, correct inconsistencies, and maintain a high-quality database.
- Provide ongoing support for data integrity and reporting.
5. Training & Documentation
- Provide hands-on training to the owner and key stakeholders.
- Create step-by-step guides, SOPs, and documentation for ongoing use.
- Ensure the client can confidently manage day-to-day CRM operations.
6. Ongoing Support & Project Assistance
- Assist with system alignment and operational support while the owner is traveling.
- Partner with the owner on workflow improvements and process efficiency.
- Support additional projects as needed, prioritizing tasks based on impact and deadlines.
Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.
Skills
The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:
- Proven experience in CRM setup, migration, and workflow design (Tern experience preferred but not required).
- Strong technical skills for backend management, integrations, and troubleshooting.
- Experience in the travel industry, particularly with custom/group travel, or in service-based businesses with complex client journeys.
- Ability to translate real-world operations into scalable, intuitive systems.
- Excellent data management, cleanup, and reporting skills.
- Strong training and documentation capabilities.
- Highly organized, proactive, and capable of working independently.
Work Schedule
- Contracted Hours per Week: 20 Hours
- Scheduled Working Days: Monday through Friday
- Daily Working Time: TBD PST
Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.
Terms of Engagement
- Contractors will operate under a Master Services Agreement and a Statement of Work
- This is not an offer of employment; contractors are not employees of 20four7VA or any client
- All compensation is processed through 20four7VA according to the terms of the engagement
