Title: Independent Contractor – DSP-CPT-10430 Recruiting & HR Operations Virtual Assistant/Business Support VA/Junior-Advanced Level (Remote).
Overview
20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.
We are looking for a highly organized and detail-oriented Virtual Assistant to support our delivery operations, HR, payroll, recruiting, and compliance functions. This role requires a proactive professional who can manage time-sensitive tasks, communicate effectively with employees and vendors, and ensure all processes run smoothly across multiple systems.
The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.
Scope of Services
Contractors will be required to provide services that align with the following client tasks:
Scheduling, Timekeeping & Labor Control
Create and maintain weekly driver work schedules.
Review daily overtime to ensure minimum overtime for drivers.
Ensure all drivers clock in and out daily in the timekeeping system.
Monitor timecards for missing punches and contact employees immediately for corrections.
Verify Amazon Cortex–recorded lunch breaks and reconcile with payroll.
Notify employees via Homebase for missing punches or lunch edits.
Ensure new hires record training time correctly; follow up as needed.
Review weekly time punch edits and confirm accuracy with Amazon Cortex portal.
Driver Recognition & Team Engagement
Create monthly driver rankings for the Driver Recognition Program.
Send monthly recognition highlights, birthday, and work anniversary announcements.
Draft and send team messages as directed.
Recruiting & ATS Management
Manage end-to-end driver recruiting via ATS platforms.
Post job openings, screen candidates, and evaluate one-way interview videos.
Provide clear pass/fail recommendations based on screening criteria.
Schedule interviews, drug screenings, and ensure all onboarding steps are completed in order.
Maintain accurate candidate pipeline statuses, notes, and documentation.
Recommend improvements to recruiting workflows and ATS usage.
Prepare daily hiring updates and ensure recruiter calendars are organized.
Onboarding, Payroll & Employee Records
Ensure new hires are set up correctly in payroll according to compliance standards.
Manage onboarding steps including offer letters, payroll setup, and drug testing.
Generate and distribute payroll and HR reports.
Maintain employee records, trackers, and Jotforms accurately.
Upload garnishments into payroll as needed.
Attendance Management & Corrective Actions
Track employee attendance and send corrective action notices for attendance issues.
Maintain accurate attendance documentation.
Benefits Administration
Review and reconcile employee rosters against benefits carrier invoices.
Ensure terminated employees are removed from benefit plans and submit refund requests.
Respond to benefits vendor inquiries.
Compliance, OSHA & Workers’ Compensation
Maintain OSHA logs and assist with annual submissions.
Respond to unemployment claims and wage verification requests.
Support annual audits with organized documentation.
Injury & Workers’ Compensation Management
Schedule injured employees for medical visits and monitor follow-up notes.
Ensure injured employees attend required follow-ups and assign light duty when possible.
Track and document light duty hours per state guidelines.
Coordinate with Workers’ Compensation Advocates, claims adjusters, and medical providers.
Communications, Systems & Process Support
Send team-wide emails and assist with system implementation.
Create and manage Jotforms and SOPs for app/system usage.
Produce short how-to videos for internal applications.
Ensure all work is double-checked for accuracy and maintain organized records.
Process Improvement, Reporting & Governance
Recommend workflow and process improvements to streamline HR, payroll, recruiting, and compliance operations.
Identify operational risks impacting payroll, compliance, or onboarding.
Blocker Definition and Escalation
Escalate any issue preventing a task from moving forward (e.g., system access, missing approvals, compliance risks) on the same day it is identified.
Document all blockers clearly in end-of-shift handoff updates.
Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.
Skills
The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:
- Proven experience in administrative support, HR, payroll, or operations.
- Experience with timekeeping systems, ATS platforms, and payroll software.
- Strong attention to detail, organizational, and communication skills.
- Ability to manage multiple tasks, prioritize, and meet deadlines.
- Proactive problem-solving skills and ability to escalate issues appropriately.
- Knowledge of OSHA, workers’ compensation, and compliance regulations is a plus.

- Contracted Hours per Week: 20 Hours in total (10 hours/week each VA)
- Scheduled Working Days: TBD
- Daily Working Time: 11 AM-4 PM /1 PM-6 PM TBD if MST or PST
Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.
Terms of Engagement
- Contractors will operate under a Master Services Agreement and a Statement of Work
- This is not an offer of employment; contractors are not employees of 20four7VA or any client
- All compensation is processed through 20four7VA according to the terms of the engagement
