The Benefits Coordinator role has two main areas of responsibility: (1) benefits administration and (2) leave coordination. The position is typically the first point of contact for the resolution of US benefits and leave inquiries. This role reports to the Director, Total Rewards.
Essential Responsibilities
Benefits Administration
·Responsible for the day-to-day administration of BioAgilytix benefits, (Medical, Dental, Vision, EAP, Life/Disability, Retirement and Ancillary).
·Respond to employee benefits and leave inquiries received via our internal HR service portal or inbox. Escalate or transfer to the proper department for resolution when necessary.
·Maintain relationships with brokers and program vendors to troubleshoot and resolve issues.
·Review and process benefit changes through the HRIS.
·Review and process applicable “Action Item” notices generated by the HRIS.
·Support the HR operations team during open enrollment, including, but not limited to HRIS testing and responding to employees’ benefits questions.
·Create Blanket PO’s for all benefits vendors; review and reconcile benefit vendor billing.
·Provide benefits change reports to the payroll team.
·Support audit processes; including vendor, HRIS data, dependent and surcharge audits.
·Review reports from the life insurance vendor for approved/denied elections, communicate decisions as necessary and update HRIS as appropriate.
·Provide verification of coverage letters as requested.
·Coordinate periodic events such as lunch and learns and open enrollments.
·Provide administrative support for vendor transitions and new program implementations.
Leave Administration
·Provide administrative support for all US employee leaves of absences including, but not limited to FMLA, CFRA, MA PFL, Parental Leave and Miliary Leave.
·Counsel employees on the leave process and policies, review materials and provide appropriate communications and follow up.
·Work closely with the absence management and disability vendor to administer, report on and troubleshoot leave-related issues.
·Update and distribute all required compliance notices.
·Complete bi-weekly leave payment coordination reports for payroll.
Additional Responsibilities
·Assist HR operations team members as requested.
·Provide monthly reporting as assigned.
·Other projects and duties as assigned.
Minimum Preferred Qualifications
Education/Experience:
·Bachelor’s degree
·Minimum 1-year relevant work experience in HR Administration, HR Operations or Benefits Administration
·General knowledge of employee benefits, leaves of absence and vendor relations.
·Knowledge of CA and MA leave of absence statutes is preferred, but not required.
Skills:
·HRIS experience preferred but not required.
·Microsoft Office (Word, Excel, PowerPoint) proficiency required.
·Basic knowledge and understanding of FMLA, ERISA, ACA and HIPAA
·Exceptional customer service and solution focused orientation.
·Ability to liaise effectively and collaboratively with internal and external partners.

Working Environment
·Primarily office (i.e., blend of office and work-from-home)
·Routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
Physical Demands
·Ability to work in an upright and/or stationary position for up to eight (8) hours per day.
·Repetitive hand movement of both hands with the ability to make fast, simple, repeated movements of the fingers, hands, and wrists to operate office equipment.
·Occasional mobility needed.
·Occasional crouching, stooping, with frequent bending and twisting of upper body and neck.
·Light to moderate lifting and carrying (or otherwise moving) objects, including files, office supplies, luggage, and laptop computer, with a maximum lift of 20 pounds.

Position Type and Expected Hours of Work
·This is a full-time position.
·Some flexibility in hours is allowed, but the employee must be available during the “core” work hours as published in the BioAgilytix Employee Handbook
·Occasional weekend, holiday, and evening work required.
