About the Role
We’re looking for a VA Onboarding Specialist to ensure every new Virtual Assistant joins Wing with confidence, clarity, and the right tools for success. This role bridges Talent Acquisition, Training, and Operations, guiding new hires from offer acceptance to full deployment. The VA Onboarding Specialist will deliver structured onboarding sessions, handle documentation and system setup, and ensure that each assistant is fully oriented to Wing’s culture, tools, and client-ready standards.
₱45,000 - ₱70,000 a month
Key Responsibilities
- Manage and execute the end-to-end onboarding process for new Virtual Assistants, from offer confirmation to operational handover.
- Conduct orientation sessions covering company policies, communication tools, escalation paths, and performance expectations.
Ensure all systems access, credentials, and internal accounts are properly set up prior to deployment.
- Collaborate with Talent, Training, and Operations to verify completion of pre-deployment requirements (training, compliance, assessments).
- Maintain clear and friendly communication with new hires throughout the onboarding journey, addressing questions and concerns promptly.
- Track onboarding progress, maintain checklists, and ensure timely completion of all required steps.
- Collect and summarize feedback from new VAs to improve onboarding efficiency and engagement.
- Coordinate with People Ops and Compliance for documentation, contract completion, and policy acknowledgments.
- Support the transition into training or client readiness programs and ensure no gaps in knowledge or setup.
- Contribute to the continuous improvement of onboarding workflows, materials, and automation.
Qualifications
- Minimum 3 years of experience in onboarding, training coordination, or HR operations — preferably in a BPO, staffing, or remote workforce environment.
- Excellent communication and interpersonal skills, with strong empathy for new hires.
- Highly organized and detail-oriented, able to manage multiple onboarding batches concurrently.
- Proficiency in Google Workspace, HRIS or ATS systems, and onboarding management tools.
- Strong understanding of remote team enablement and virtual communication norms.
- Comfortable conducting live sessions or presentations for large groups.
Preferred Skills
- Background in L&D or Training Delivery, particularly for virtual assistant roles.
- Familiarity with process documentation, employee lifecycle management, or learning management systems (LMS).
- Knowledge of engagement and retention techniques during onboarding.
- Experience creating onboarding materials (guides, slide decks, video walkthroughs).
