ISTA Personnel Solutions South Africa is partnering with a U.S.A. client in the Residential Construction Industry, and are seeking a proactive and meticulous Project Administrator to support their multiple Construction Project Teams remotely.

The Project Coordinator will act as the central point for project administration, paired with 2–3 Project Managers, ensuring schedules, communications, and tasks are fully organized. This role requires an organized, communicative personality capable of managing multiple simultaneous tasks under pressure while maintaining exceptional attention to detail.

PLEASE NOTE

  • Working Hours: Mon – Fri, 8:30 AM – 5:30 PM EST (2:30 PM – 11:30 PM SA Time, subject to daylight savings in the United States)
  • Internet Requirements: A fixed fibre line with a minimum speed of 25 Mbps (upload & download) and the ability to support a wired Ethernet connection is mandatory. Applicants without a fixed fibre line cannot be considered.
  • Power Backup: A reliable power backup solution is required to manage load shedding and power outages. Applicants without a power backup cannot be considered.
  • Work Environment: This is a fully remote working role.
  • Public Holidays: You will be required to work on all South African public holidays(compensated as per BCEA)

Key Responsibilities

  • Serve as the executive assistant to Project Managers, keeping project schedules, tasks, and documentation up to date

  • Coordinate and communicate effectively with vendors, internal teams, and stakeholders to ensure smooth project execution

  • Manage multiple projects simultaneously, identifying potential conflicts and roadblocks

  • Maintain daily updates in project management software and ensure all project emails are reviewed and documented

  • Collaborate with departments such as Estimating, Purchasing, Vendor Management, and Bookkeeping

  • Streamline administrative processes to support Project Managers in meeting deadlines

  • Experience in Property Management, Real Estate Management, Construction Project Administration, or Maintenance

  • Highly organized, with the ability to handle multiple simultaneous tasks under pressure

  • Strong verbal and written English communication skills (blend of British and American accents acceptable)

  • Excellent attention to detail

  • Ability to quickly learn and adapt to new software and systems

  • Professional phone manner and calm, composed demeanor under pressure

  • Organized, detail-oriented, and communicative with the ability to maintain strong professional relationships

  • Confident in managing multiple priorities in a fast-paced environment

  • Results-oriented and proactive
