As a Production Coordinator at Ubi Montreal, you’ll play a key role in supporting the Helix team with administrative, logistical, and production needs. You’ll ensure smooth communication, implement tracking tools, and help improve processes to keep projects running efficiently.

What you’ll do

  • Set up and maintain planning tools, tracking systems, and team calendars.
  • Organize and follow up on recurring meetings (team meetings, workforces, workshops, offsites).
  • Manage onboarding of new employees and coordinate administrative needs.
  • Oversee floor plan management and furniture requirements for the Helix team.
  • Maintain inventory and coordinate tech support (printers, test/dev kits, computers, screens, software, etc.).
  • Coordinate travel needs for the project team.
  • Track and implement certain financial and budget reports as well as KPIs for the Helix department.
  • Support production leadership in implementing or improving internal processes.
  • Coordinate and produce items to ensure smooth information flow (newsletters, distribution lists, internal communications).
  • Contribute to Helix team visibility and branding (communications prep, asset creation for visuals and branding).
  • Set up and monitor floor plans during moves, integrations, and reorganizations.
  • Coordinate project-related requests (food, posters, gifts, etc.).
  • Perform any other related tasks based on your expertise.

Qualifications

What you bring to the team

  • College or university degree in administration or any equivalent training.
  • 1–3 years of relevant experience in a similar role or multimedia project coordination; experience in the video game industry is an asset.
  • Strong interpersonal communication skills.
  • Ability to adapt to change and remain effective under pressure.
  • Results- and user-oriented mindset.
  • Ability to manage multiple files simultaneously and resourcefulness.
  • Proficiency with Microsoft Suite, including project management tools (Microsoft Project).
  • Excellent knowledge of French and English, both spoken and written.
