Title: Independent Contractor – CPT-10802 Operations & Business Support Virtual Assistant/Business Support/Junior-Advanced Level (Remote).
Overview
20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.
We are seeking a highly capable Operations & Business Support Virtual Assistant to support the back-office operations of a boutique accounting and finance recruitment firm. This is a critical support function within the business spanning three core areas: business development campaign operations (40%), Visual Resume production using AI-assisted workflows (30%), and general administration and coordination (30%). The position is dynamic and requires strong organizational skills, attention to detail, critical thinking, and comfort working with AI-assisted workflows.
The ideal candidate can operate independently, manage fluctuating workloads, and support multiple functions, including operations, administrative coordination, recruitment support, and process optimization. This is a full-time remote position with preferred working hours of 12:00 PM – 8:00 PM EST.
The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.
Scope of Services
Contractors will be required to provide services that align with the following client tasks:
Operations & Administrative Support
- Provide day-to-day back-office operational support
- Manage and maintain outreach campaigns across sales engagement and automation platforms, including list building, sequencing, and A/B testing
- Research and build targeted prospect lists aligned with the firm’s ideal client profiles
- Monitor campaign performance metrics and prepare weekly reporting for the team
- Maintain CRM data hygiene and ensure lead and client records are accurate and up to date
- Support the scheduling and coordination of business development demos and introductory calls
- Assist with outreach messaging and template refinement
- Manage administrative coordination across internal teams
- Handle document preparation, editing, and organization
- Manage DocuSign workflows and related documentation
- Support internal process improvement and task prioritization
AI-Assisted Content & QA Work:
Use AI tools (Claude, ChatGPT, or similar LLMs) to generate and refine:
- Custom candidate Visual Resumes following the firm’s standardized methodology
- Job descriptions sourced from client meetings, transcripts, and briefing notes
- Client briefing documents summarizing search strategies, benchmarks, and compensation
Perform quality assurance on AI-generated outputs, including:
- Cross-referencing AI outputs against source documents (resumes, interview transcripts, recruiter notes) to catch hallucinations or inaccuracies
- Verifying the accuracy of skills, experience, job titles, and achievement claims
- Editing grammar, clarity, and writing style to ensure a professional tone
- Ensuring content is concise, relevant, and client-ready
- Help optimize AI prompts and workflows over time
Recruitment & Candidate Support
- Prepare Visual Resumes for shortlisted candidates by gathering candidate information from resumes, interview transcripts, and recruiter notes
- Create candidate summaries, skill breakdowns, and key differentiators for each profile
- Help prepare job briefing pages for clients, including search strategies, compensation benchmarks, and role overviews
- Maintain and update Visual Resume templates as the format evolves
- Track Visual Resume turnaround times and flag any bottlenecks in the production process
Scheduling & Coordination
- Book interviews and meetings across multiple time zones
- Coordinate calendars and ensure correct time zone alignment
- Populate meeting links and ensure accurate scheduling
- Communicate with candidates and internal stakeholders as needed
- Assist with reference check coordination and follow-up
Data Management & Side Projects
- Perform database clean-ups and profile enrichment
- Tag, update, and organize candidate and client records
- Maintain internal knowledge base, project management pages, and shared file structures
- Assist with ad-hoc projects during slower pipeline periods
- Identify opportunities to improve internal processes and workflows through automation or AI-driven solutions
- Support evolving operational needs as the firm scales
Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.
Skills
The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:
- Strong attention to detail and accuracy, especially when reviewing client-facing deliverables
- Excellent written English communication skills — ability to review, edit, and QA documents for accuracy, grammar, and professional tone
- High level of critical thinking and problem-solving ability — can identify errors and inconsistencies in AI-generated content
- Comfortable working with AI tools including large language models (experience with Claude, ChatGPT, or similar is a strong asset)
- Proficient with CRM platforms, outreach and automation tools, and LinkedIn
- Strong organizational and time-management skills
- Ability to work independently with minimal supervision
- Tech-savvy and quick to adapt to new platforms and multi-tool workflows
Preferred Background
- Experience in recruitment, staffing, operations, administration, or professional services
- Experience working in fast-paced, variable workload environments
- Familiarity with resume writing, job descriptions, or candidate coordination
- Familiarity with outreach automation platforms (e.g., HeyReach, Instantly, or similar)
- Familiarity with accounting and finance terminology is a plus
- No specific degree required; soft skills and performance are prioritized

Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.
Terms of Engagement
- Contractors will operate under a Master Services Agreement and a Statement of Work
- This is not an offer of employment; contractors are not employees of 20four7VA or any client
- All compensation is processed through 20four7VA according to the terms of the engagement
